GSK’s Responsible Wood Fibre / Paper Survey – Checklist for suppliers Action

Description

Completed

The 2014 survey (asking for 2013 data) will be conducted in the Ecodesk system. Most of you are already familiar with Ecodesk, which is a third party supplier, supporting GSK’s suppliers to disclose and manage carbon, water and waste data and emissions.

1

Appoint a responsible person

Agree who from your company is responsible for collecting the data and update it on the Ecodesk platform – this might be yourself or it might be another appropriate person within your business. The paper packaging survey requires you to collect data internally, as well as from your paper suppliers.  

Start with collecting as much data as you can internally. Engage with your suppliers to collect the data that you cannot complete yourselves internally.

We recommend the following two ways of engaging internally, as well as with your suppliers, to collect the data:

Collect data internally AND from suppliers

1. Fill in the survey during a meeting (TC / live meeting / face to face) a. Log in to Ecodesk and access the survey (as described in step 5 below) and fill in the questionnaire (live in the system) during your meeting. 2. Download the data collection template (excel version of the survey): a. You should have received a data collection template – an excel version of the paper survey – from your key contact person at GSK. This data collection template will help you collect the data before submitting it online on Ecodesk. b. If you have accidently lost it please ask your GSK contact to resend it or get in touch with GSK’s sustainability team: [email protected] c. Please note that you must complete the survey online on you profile on www.ecodesk.com and the template is only to help you collect the data.

Confirm data

 

Confirm that the data is correct and the numbers add up. The data should include all of the material provided to GSK / used for GSK products in 2013.

Once the data is collected and confirmed, please submit the data by: 1. Logging in to your Ecodesk profile online (if you have not already got a profile, please create one by following the instructions on: https://www.ecodesk.com/register)

5

Submit data on Ecodesk

2. Fill in the questionnaire by selecting the survey in the requested fields for GSK after login to Ecodesk – this should be straightforward, but please do not hesitate to get in contact with Tom Pathuis from Ecodesk if you have any questions.

The data must be submitted in Ecodesk by the 11th of June 2014. GSK will verify your data submission – this will require some time, so please bear with us.

6

Correct any errors

If there are any discrepancies in your data, GSK or Ecodesk will get in touch to clarify any errors and ask you to correct them.

Await feedback from your GSK contact. If you have any questions with regards to the data submission, please do not hesitate to get in touch with your key GSK contact person.

7

Feedback on data

The results from the survey will be evaluated by GSK and Rainforest Alliance and each supplier will get individual feedback on their specific result. No data attributable to yourself will be publically shared without your prior consent. Suppliers are assessed from a risk perspective and based on the result GSK aim to work with suppliers to exclude wood fibre from high risk sources.

Any questions? GSK’s homepage on Ecodesk includes all the materials and contact details required for the survey. If you have any technical questions about the system please contact [email protected]. For any other matters for the first instance please contact your supplier relationship manager (or as a second instance GSK’s Supply Chain Sustainability manager [email protected]). th

Please complete your surveys online on Ecodesk by latest on the 11 data will be treated as a high risk material to GSK.
