Introduction to the role The Academic Coordinator is responsible for providing support to the Academic team through the provision of academic administration services including timetabling. This position will make recommendations to the Academic Director and Course Convenors whilst providing operational support and leadership to the team. Essential Skills and Experience • A minimum of eight (8) years working experience in a role with a high degree of administrative functions; with proven experience in managing a diverse range of support functions. • Demonstrated high level expertise in the use of large scale networked information systems, databases, timetabling systems, student allocation systems, spreadsheets and word-processing software including data extraction and report presentation and the ability to maintain accurate records. • Demonstrated capacity to design, develop, implement and train staff on new administrative systems with a focus on continuous improvement and service excellence. • Demonstrated high level of analytical and problem solving skills including exceptional attention to details. • Proven ability to work independently and as part of a team without close supervision. • Demonstrated ability to meet deadlines by organising and prioritising work in collaboration with other staff. • Demonstrated high level interpersonal, negotiation, listening and communication skills with the ability to develop and maintain networks and contacts and relate to stakeholders from diverse backgrounds. • Ability to maintain composure, balance workload and conflicting priorities and effectively handle difficult situations. Overview and Objectives of the Position:

The Academic Coordinator is responsible for providing support to the Academic team through the provision of academic administration services including timetabling. Key Result Areas:



Provide operational oversight in regards to academic administration and timetabling including training of staff where necessary.



Oversee the academic administration and timetabling operations to ensure consistency with legislative requirements, quality standards and college procedures.



Develop a culture of continuous improvement by promoting pursuit of excellence in all college practices related to academic administration and timetabling.



Evaluate and refine where relevant, current administrative processes and design by developing and implementing new administrative procedures and processes.



Ensure the -

timely and quality provision of academic administration support services through: Generation and management of reports Attendance recording and monitoring Results and Assessment recording Meeting deadlines regarding submission of final grades



Oversee the timely and accurate production of timetables (including examination) multiple times per year and maximising asset utilisation through database and spreadsheets whilst ensure quality of learning and teaching.



Oversee the timely and accurate management of sessional staff timesheets ensuring accurate processes are followed in regards to approvals and payment.



Identify and resolve problems (through liaison with all relevant stakeholders) and find appropriate solutions where there are potential conflicts of interest in room utilisation.



Ensure examination and workbook printing is planned for and executed.



Ensure the maintenance of controls, systems and processes to ensure adherence to Western Sydney University International College procedures and legislative obligations.



Ensure ongoing security and integrity of student records, including assessment, results and attendance.



Contribute to and participate in professional development programs and staff and college meetings.



Develop and maintain effective relationships, alliances and networks within Western Sydney University and Western Sydney University The College.



Other related duties as prescribed by the Academic Director.

Decision Making/Authority to Act:



The Academic Coordinator provides leadership and has substantial autonomy and decision-making authority in the day-to-day administrative management of the courses.



The Academic Coordinator provides advice and recommendations on the academic administration services including timetabling to the Academic Director, and other staff as required.

Qualifications and Selection Criteria

Essential: 
