Academic Services Officer Salary: £21,000 - £23,000 per annum Permanent - Full Time Navitas is a diversified global education provider that offers an extensive range of educational services for students and professionals including university programs and language training. The Academic Services Officer (ASO) is a critical member of the College team in the administration of the key aspects of the student academic life cycle. Providing highly responsive and pro-active monitoring of student participation and engagement in their studies, the ASO will assist the Director of Academic and Student Services (DASS) in the implementation and delivery of effective timetabling, examination and student attendance systems and processes. The ASO will support all policies and regulations as they relate to the learning and teaching environment, ensuring each student has the appropriate academic appraisal points and learning experience. Supporting front line Academic Teaching Staff through each College semester will be an important part of the ASO role, from distributing Academic Teaching Staff contracts, schedules and induction to a range of on programme academic support services. Degree or 3 years work experience within an academic environment Academic experience in an HE education focused environment Possess knowledge and understanding of the Home Office Tier 4 regulations, CMA and the QAA’s Code of Practice Have the ability to communicate with staff and students from a diverse range of cultural and educational backgrounds Good verbal and written English language communication skills Possess good data analysis and presentation skills Good team-working skills Good understanding of the importance of file management (including electronic files) Be able to prioritise duties, and seek clarification and guidance from manager when faced with competing priorities Demonstrate sound knowledge of equal opportunity, equity and workplace health and safety principles and ability to implement them at the strategic and/or operational level For further information about this role, please read the attached information sheet.

Overview of the Position: The Academic Services Officer (ASO) is a critical member of the College team in the administration of the key aspects of the student academic life cycle. The ASO will support all policies and regulations as they relate to the learning and teaching environment, ensuring each student has the appropriate academic appraisal points and learning experience. Supporting front line Academic Teaching Staff through each College semester will be an important part of the ASO role, from distributing Academic Teaching Staff contracts, schedules and induction to a range of on programme academic support services. Key Result Areas Academic Services Administration  Support the provision of front line services to Academic Teaching staff providing on-going support with regard to key information concerning the academic environment and associated technologies, making appointments for students and Academic staff as appropriate  Manage the front line student academic enquiries which will include: timetable and examination information and changes; assessment regulations and results release  Support the administration of Academic Staff Meetings and Learning and Teaching Boards inclusive of the production of timely and accurate minutes  Manage all Mitigating Circumstances Panels, Model Panels and Transition/Progression Boards  Manage the administration support for Annual Monitoring Review events  Support student academic appeal and complaints processes by collecting relevant documentation and arranging meetings as necessary  Assist the MAS in the creation of Sponsored Students Academic Reports as required  Assist the MAS to create and maintain the accuracy of student and academic data: student academic records; Module Guides; Academic Handbooks and College Moodle VLE/Portal  Support the MAS in the management of the College Events Calendar  Assist MAS in readiness for QAA events  Assist MAS in creating timetable for peer and management observations Examination and Moderation  Assist the DASS in managing the organisation of examination processes for each semester including mid-term, end of term examinations and re assessments/resits  Ensure all examination papers are approved where appropriate by the University Partner  Ensure examination and summative assessments are marked in accordance with agreed assessment regulations  Assist in the training of Invigilation staff as appropriate to support the Examination process  Ensure that the examination moderation and external moderation process meets agreed timelines Timetabling  Assist the DASS with the development of the College timetable  Liaise, as required, with the Partner University timetabling team for provision of appropriate teaching space and support the day to day administration of the College teaching timetable  Liaise, as required, with the Partner University timetabling team for provision of appropriate examination space Attendance Monitoring  Manage the attendance monitoring process for the College, working closely with the Admissions Coordinator to ensure student status aligns to required Home Office regulations  Liaise with the Student Services Officer with regards to the Student in Jeopardy process where students are failing to attend teaching sessions  Present attendance tracking data to College Management Team on a monthly basis  Develop and maintain a broad understanding of the College’s pathway provision to underpin student management decisions made as a College team  Demonstrate a knowledge and understanding of the Partner University and its degree schemes to provide basic advise to students

Management  Assist the MAS in the HR process for College Academic Staff recruitment, contracts and schedules Other     

Maintain confidentiality at all times regarding college information and student files Support the management of student records Participate in enrolment and orientation activities Participate in 24/7 student support rota Carry out duties as may be required by the CDP
