Christ the King Publication Submission Guidelines Thank you for you interest in submitting to Christ the King Lutheran Church’s publications. The following avenues are available for your use. • • • • • • •

Please make sure to read the following guidelines for submitting to each publication. Each submission is checked and edited by the communications coordinator. • Submissions should be sent to the communications coordinator in a word document. • Please do not insert clip art, text boxes, or other forms of special formatting, including bullets, underlining, strikethrough, and other types of formatting. • Attach photos and other graphic elements to the e-mail separately. • In the subject line of each email please put the date and all publication(s) the announcements should be published in.

BULLETIN INSERTS In an effort to streamline our communication practices and be more welcoming to visitors at CtK, inserts to the bulletin are produced exclusively for information pertaining to worship. As such, insert requests will not be granted for events, fundraisers, or other ministries not pertaining to worship unless specifically approved by the Senior Pastor.

BULLETIN ANNOUNCEMENTS Submission deadline: Wednesdays, 12:00 noon Word count: 75 words or less, unless previously arraigned with the communications coordinator. Run time: Submissions will run at most three weeks prior to the event, depending on space and timing. Notes: Make sure to include all important information (i.e. date, time, location, deadlines, contact person with information).

LIFE@CTK BULLETIN INSERT Submission deadline: Wednesdays, 12:00 noon Word count: 20 words or less on each side of the flyer. Notes: Make sure to give contact information for return phone calls. Life@CtK is on a first come, first serve basis and tends to fill up quickly.

WHAT’S HAPPENING AT CTK (Weekly e-newsletter) Submission deadline: Tuesdays, 12:00 noon NEW Word count: 75 words or less, unless previously arraigned with the communications coordinator. Photo submissions are encouraged.

Submission deadline: Tenth day of the month, 12:00 noon Word count: 300 words or less, unless previously arraigned with the communications coordinator. Photos allowed: Yes and encouraged! Please note however, that not all photos submitted will be included in the final version. Photos will only be included as there is space. Photos to pair with articles must be sent as separate files; do not copy/paste photos into word document with article. Notes: Make sure to tell the story with your articles. We want to inspire as well as inform.

FLYERS/DESIGN REQUESTS Initial contact deadline: 3-5 weeks before the flyer needs to be distributed. Notes: Please bring flyers and hand other literature to the communications coordinator before distribution.

VIDEOS AND SPECIAL PROJECTS Initial contact deadline: 3-6 months prior to intended use. Notes: Videos and special projects will depend on the difficulty of the project requested. Groups can expect 3-6 months to complete a video project in conjunction with the communications coordinator depending on the difficulty of the project. Please set up an appointment with the communications coordinator to discuss these needs.

Style Sheet For the most part, Christ the King follows AP (Associated Press) style. To remain consistent please use AP Style and the following guide to make sure all CtK publications follow the same general style and format.

Special Considerations and Styles Christ the King Always use Christ the King on first reference. Subsequent references can be CtK (not ctk or CTK.) Life@CtK This is the only place to use an @ symbol. Every other instance should be spelled out (at) Dates/Times Write time, day, date, and place in this format: Monday, Jan. 10., 10:00 a.m. Always include the day with the date. Abbreviate long months with the date. Feb. 24 not 24th. (March, April, May, June and July are not abbreviated.) Write out the month without the date. The event will be held in February. Times: 7:00 p.m. or 7:10 p.m. Not 7 PM or pm Use hyphens when an end time is known. Friday 9:00-10:00 a.m. Events held at noon are to be written as 12:00 noon (not 12 p.m. or 12:00 p.m., etc.) The year is only necessary on events that happen more than one year from the publication date.

Phone Numbers Phone numbers should always include area codes and this format: 651-633-4674. (Not (651) 633.4674 or 651.633.4674.) It is always preferable to give the church's phone number instead of a personal number for a member or a staff member. This helps us protect our member's personal information and stay consistent. All Caps All caps should only be used to yell angrily at your reader. DON'T EVER YELL AT YOUR READER. Exclamation Points Exclamation points should be used rarely and only once per sentence! Ellipses Ellipses are used to let the reader know that you have left out information that you deemed unnecessary. Don't use ellipses. Spacing Use one space between sentences. Not two, not none. One. Numbers Numbers 10 and above use numerals. One through nine are written out. Abbreviations Do not abbreviate things unless absolutely necessary. It creates a secret insider vs. outside language. For example, do not abbreviate names of programs or locations. Acronyms Do not use acronyms in largely published documents, except for the following exceptions and widely known acronyms (like FBI or CIA). It creates a secret insider vs. outside language. Evangelical Lutheran Church in America Always use Evangelical Lutheran Church in America (ELCA) on first reference. Subsequent references can be ELCA.

CtK Logo Christ the King committees are encouraged to use the Church logo, font styles, and letterhead as often as possible. It is intended as way to help people easily and consistently identify Christ the King in print and online. Groups are not required to use the logo, but are strongly encouraged to use the logo. Logo Dos • Do use the logo as often as possible for things related to CtK. • Do use the logo in color as often as possible. • Do ask for help when using the CtK Logo. • Do use Century Gothic as your text font when using the CtK logo. • Do use common sense. Logo Don'ts • Do not distort, reflect, or pixilate the CtK logo. • Do not change the logo's color. • Do not use parts of the logo in design or leave parts of the logo off. (All or nothing.) • Don't use the logo for things that aren't related to CtK. Please contact the communications coordinator with questions about logo use or to get a copy of it for publication.

CtK Fonts Christ the King's main printed font is Century Gothic in size 10. It was chosen because it is clean, uses less ink when printed and is distributed with most publishing software. This font should be used as often as possible to maintain consistency.
