*Full Committee responsibilities: • • • • • • • •

Promotion of the Club throughout the year to actively encourage membership; Ensuring health and safety is complied with and risk assessments completed for Club events; Preparing a written handover for their successors; Ensuring they attend all relevant training; Sending apologies in advance if the Club is not represented at AU Council; Ensuring that the activities of the Club reflect the aims and objectives of the Club and are for the benefit of all members. Complying with the Data Protection Act 1998 and its eight principles; Upholding Hull University Union’s Policies and Procedures. Including, but not limited to: o o o o o o

*President The President is strong leader within the club and in charge of the efficient general running of the club. Should have experience within the club and have a vision of how to move the club forward Skills Required: • • • • • • •

Leadership & people Management Organised Communication Good representative of the club and passionate about the sport Personable Time Management Have an understanding of all other committee positions

General roles and responsibilities:



Understand the HUU Athletic Union structure and attend training

Call and chair committee meetings Delegate tasks to committee members and oversee tasks Represent the club in the AU and AU council First point of contact to the club – liaise with HUU, SFC and external stake holders to ensure the effective running of the club Report any incidents, accidents & concerns to HUU Work with the treasurer to ensure all income received by the club is paid into the Club’s account. Ensure that Hull University Union is not brought into disrepute by the actions of the Club. Work with the Treasurer to ensure the club does not incur a financial deficit Work with the Welfare Officer to ensure club events comply with health and safety laws, rules and regulations and that risk assessments are filed and approved in advance of all events and activities

*Secretary Coordinates the club, supporting the translation of a vision into definable tasks, monitoring and recording activity and communicating them with the committee and club members. Skills required: • • • •

Organised Time management Communication Personable

General roles and responsibilities: • • • • •

Assisting the President in meetings – ensuring agenda items are circulated, minutes written and circulated. Will step in as the chair when the President is unavailable. Event and meeting room bookings Communicate regularly with members – ensure they have all the relevant information Circulate any communications from the NGB - e.g. competition or rule changes

*Treasurer Oversees all financial running of the club. The treasurer ensures the accounts are in check and that all club members and committee members are up to date with financial matters. Skills required: • • • • • •

Good numeracy skills Responsible Organisational Communication Trustworthy Reliable

General roles and responsibilities: • Learning the HUU finance system and attending treasurer training

Overseeing the primary and secondary accounts Leading on the annual budget with the support of the committee Ensuring all memberships are paid – to HUU and training facilities Ensuring all competition and officials fees are paid Assisting the committee with fundraising, charity and social events by managing the financial side Overseeing sponsorship agreements – ensure all payments are completed on time. Annual finance report at AGM

*Welfare Officer The welfare officer oversees all welfare, safeguarding and inclusion matters within the club. Skills required: • • • •

Personable Organised Trustworthy e.g. when dealing with sensitive information Approachable

General roles and responsibilities: • • • • • • •

Learn the HUU welfare, safeguarding, health & safety and inclusion protocols. Attend welfare training Record relevant medical details of club members Record injuries & accidents Record welfare or safeguarding incidences Communicate welfare and safeguarding updates between club, HUU and NGB Work with the President to ensure club events comply with health and safety laws, rules and regulations and that risk assessments are filed and approved in advance of all events and activities

Fixtures Secretary The fixtures secretary will arrange all aspects of competition, and fixtures Skills required • •

Organised Communication

General roles and responsibilities: • • • • • •

Collect Match pack and fill in the team sheet and relevant travel documents Booking competition or fixture facilities Booking competition or fixture officials Ensure matches are played within the rules of your NGB and/or BUCS Responsible for managing any appeals / complaints on match days Return match pack to HUU promptly after the fixture

Captain The captain will lead a specific team on the pitch or through competition Skills required: • • • •

Communication Mentor Knowledge of the sport Leadership

General roles and responsibilities: • • • • •

Assist with coaching Liaise with sport officials during fixtures and competitions Assist with player / competitor selections Ensure that BUCS and NGB rules and regulations are adhered to in full throughout the fixture or competition Address any concerns to the officials, BUCS and HUU

Vice-Captain The vice-captain will assist the captain in all duties and step in when the captain is not present. Skills required: • • • •

Assist with coaching Assist with player / competitor selections Ensure that BUCS and NGB rules and regulations are adhered to in full throughout the fixture or competition

Media Officer The Media officer manages social media, website and other promotional materials Skills required: • • •

Knowledge of social media Understanding of web policy Communication

General roles and responsibilities: • • • • • •

Managing social media Passing on any social media concerns to the president Ensuring HUU have the social media handles of your club Writing match reports Designing flyers and posters Work with the events officer to ensure events are publicised

Kit & Equipment Officer The kit & equipment officer will manage all the kit and equipment needed by the club Skills required: • •

Knowledge of the sport Understanding of current kit supplier and exec contact

General roles and responsibilities: • • • •

Ensure that all equipment required for a training session or meeting is there and is in working order Ensuring that all equipment is booked out Ensuring the team kit is washed Purchasing any necessary kit or equipment

Fundraising Officer The Fundraising officer is there to support the treasurer and/or events officer with either charitable fundraising or fundraising for the club. Skills required: • • •

Creative ideas for events Knowledge of club finances Knowledge of RAG

Organising fundraising events Liaising with charities Planning fundraising budgets with the treasurer

Events Officer The events officer will organise club events Skills required: • • •

Organised Knowledge of the club social calendar Knowledge of the HUU events calendar

General roles and responsibilities: • • • •

Organise the clubs annual alumni event Organise fundraisers with the fundraising officer Assist the fixtures secretary with large competitions Ensure all social events are safe, well planned for and that HUU is given notice of events when appropriate
