Our Digital Marketing and Communications Coordinator will be responsible for support to our communications team as well as creating and managing content on our websites. Working with the communications team across both campuses you will work to increase student engagement across all our comms channels. This role is pivotal to ensuring Kent Union’s tone is student friendly and all students at Kent are aware of what Kent Union is, the services on offer and current campaigns. Working in partnership with all outlets and services to promote events, provide information and guide students during their time at the University of Kent. The work will incorporate delivering communications to students based at both Canterbury and Medway campuses, through Kent Union and also Greenwich and Kent Students’ Unions Together. THE ROLE Job Description – Digital Marketing and Communications Coordinator Department: Marketing Reports to: Assistant Marketing & Communications Manager Direct reports: Communications Coordinator / Marketing & Communications Team Leader (GKU) / Student Staff / Interns Role Purpose: Our Digital Marketing and Communications Coordinator will be responsible for support

Authority and direction is delegated from the Union’s Trustees, via the Chief Executive and Head of Marketing.

Duties and Responsibilities Financial Responsibilities: 1.

To ensure all budgets are managed effectively, ensuring full adherence to Kent Union’s financial reporting procedures.

To be responsible for the security of all resources including stock and cash, and to follow all Kent Union’s financial procedures.

Delivering communications outlining key messages throughout the year for Kent Union and Greenwich and Kent Union’s Together in Medway. Delivering on communications plans for all Kent Union departments and services, to guide strategic planning and budget setting. Working in line with the Kent Union annual calendar, effectively engage students with key messages for campaigns.

Social Media, email communications & web content 1.

Posting on social media accounts including Facebook, Twitter, YouTube, Instagram and Snapchat. Ensure that these are regularly updated to communicate key messages to our students and share relevant and interesting content whilst still maintaining our brand identity and tone of voice.

Sourcing content to include within the regular student newsletters, compiling the copy and ensuring the newsletters are distributed. This content should include content written / sourced from PTOs and FTOs. 3. Work with the Full Time Officer Team, Part Time Officers and engaged student groups to create engaging content for all channels to ensure that our communications are representative of our membership. 4. Responsible for ensuring that engagement with our social media channels rises; key focus across Freshers’ Week to gain followers. 5. Working with Graphic Designers to assess, create and update the content of our social media, ensuring that the pages informative, helpful and engaging. 6. Facilitate online conversations with students in order to keep them engaged 7. Developing copy for ad-hoc all student emails and sending these on behalf of all Kent Union departments. 8. Working with the rest of the Marketing department to effectively and creatively engage our members with corporate and strategic documents such as the annual Impact Report, Kent Union Strategy and organisational Operating Plans. 9. Use social media to gather feedback and research student satisfaction. Promoting a range of student surveys across all channels to achieve a statistically significant sample size. 10. Writing content for our websites ensuring that the content is relevant and up to date. Deliver a smooth student journey to assist in increasing traffic. To ensure the health and safety of staff, customers and suppliers, in line with the Union’s Health and Safety Policy To ensure that the Union’s Health, Safety and Well-being Policy and appropriate Health and Safety legislation is adhered to at all times To ensure excellence in customer service, making sure that customers’ expectations are exceeded whenever possible To support elected officers in developing, co-ordinating and promoting the democratic structures Carry out other duties and activities as reasonably required to support colleagues in achieving Kent Union’s Plan.

Legal Status Kent Union is an unincorporated association and a registered charity. The Union has a Board of Trustees, which is legally responsible for all aspects of the organisation. Democratic Structures Kent Union is a membership organisation; all students at the University of Kent are automatically members of Kent Union. The membership provides strategic and political direction through the Union’s democratic structures, including petition and feedback mechanisms, all student votes, referenda, the Annual General Meeting, a Campaigns Forum, Executive Committee and seven elected Trustees. The Trustees The Trustees of Kent Union are the five ‘sabbatical officers’, four ‘external’ trustees and four ‘student’ trustees. The sabbatical officers and two of the student trustees are elected each year by and from the student membership of Kent Union. The sabbatical officers take a year out of their studies (or immediately after graduating) to serve as a trustee; they can stand for re-election for a second year if they choose, but can serve for no more than two years. Unlike the trustees of most registered charities, the sabbatical officers are paid a living allowance and work a normal working week. The four student trustees have all the responsibilities of being a trustee, but are still studying and fulfil their duties on a ‘part-time’ and voluntary basis. Two of the four student trustees are elected by cross-campus ballot and take office on 1 July each year; the other two student trustees are selected via a recruitment process in the October of each year. Staff and Management Structure Kent Union employs approximately 650 staff to provide services for its members. Staff are of two types – approximately 400 student staff, who work whilst completing their studies at the University of Kent; and approximately 150 career staff – professionals who have made working at Kent Union part of their career. The Board of Trustees oversees the work of staff through the Chief Executive and Director Group, who in turn manage staff through the 15 senior managers, each of whom is responsible for one of the Union’s Departments or a strategic function.

THE IMPORTANT HR BIT Summary Conditions of Appointment Salary The post is at Grade 3 point 1 of the Kent Union’s pay scale with a starting salary of £11,762 per annum (full time equivalent £17,899). Staff normally move up one incremental point annually, subject to performance. Probationary arrangements This post is subject to a 6-month probationary period, with 1, 3 and 6-month reviews. Notice Period The notice period for this position is one month. Annual Leave Entitlement The post holder is entitled to 23 days’ leave, increasing by 1 day a year to a maximum of 28 days; 6 ‘customary’ days’ leave, normally taken over Christmas; and the 8 statutory leave days for England. Total entitlement is therefore 37 days in year 1, rising to 42 days after 5 years. Pension The post holder is entitled to join Kent Union’s Career Average Related Earnings (CARE) pension scheme with salary sacrifice, in which Kent Union contributes 16% and employees contribute 6% of salary. Alternatively, the post-holder can join a personal pension scheme through Scottish Equitable, in which Kent Union contributes 6% and employees contribute 3% of salary. Hours of Work The contracted hours are 35 hours per week; additional hours where deemed necessary with occasional evenings or weekends.
