1. Purpose of the Job To manage all project records for a particular contract or project using the appropriate electronic data management system(s). 2. Principal Accountabilities 

Maintaining dataset registers



Maintaining EDMS dataset (Metadata)



Maintaining document control filing



Producing reports to site team Engineers when necessary



Photocopying/scanning of documents prior to uploading into the project EDMS



Issuing of document reference numbers (when required)



Issuing of correspondence (if required)



Archiving/ retrieval



Take reasonable care of your own and others’ health and safety and of those who may be affected in the day-to-day delivery of this role by taking personal responsibility for working to the Crossrail Target Zero principles



Cooperate with Crossrail in all matters relating to health and safety, including following safe working procedures at all times



Act as a role model for Crossrail’s vision and values, behaving in ways that are in alignment with Crossrail’s Ways of Working. Encourage and support others to do so too

3. Main challenges of the job 

Assisting the Site Administrator in maintaining the integrity of the data



Assisting the Project Manager in package issues



Assisting site team Engineers in document/ admin duties



Prioritising competing requirements in a timely manner



Building an effective working relationship with the project team

4. Dimensions & Interfaces (both internal and external) 

Close liaison with site team to allow access to information and distribution as necessary



Communication with the prime contractor admin staff

5. Person Specification 

Knowledge of document management standards, procedures and instructions



Working knowledge of computer programmes for records tracking, archival, retention, and storage



Sufficient experience of documentation and processes within an engineering based environment



Working knowledge of bulk scanning and scanning systems



Full knowledge of document management procedures and processes



Knowledge of ISO 9000 data management



Knowledge of data management procedures



Knowledge of design, vendor, construction, NEC3 data processes



Working knowledge of the use of EDMS – Intermediate Level



Literacy in Microsoft Software Systems including Word and Excel – Intermediate Level



Full knowledge of process on scanning and PDF functionality



Knowledge of a typical engineering construction project lifecycle



Knowledge of construction environment lifecycle
