1. PURPOSE

To undertake administration and clerical support procedures within a particular area of business. You will be assigned to a specific business area providing general assistance to ensure the smooth running of the department. To assist in the provision of an internal and external communications service to the Office of the Police and Crime Commissioner encompassing the maintenance of social media engagement at a corporate level and internal communications to support the PCC’s vision and work, delivered through a framework of corporate images and standards.

3.MAIN RESPONSIBILITIES

To provide support and assistance to the department in relation to general office administration, tasks including taking telephone messages, filing, photocopying and general administration functions.

Ensuring the department.

Updating records using various databases / force systems.

To ensure accurate records are maintained in accordance with the Data Protection Act and the provision of accurate data for Information Management purposes.

Receive and process incoming queries both over the telephone and email, recording messages as appropriate.

To ensure effective communication is handled efficiently.

Maintenance of the Office of the Police and Crime Commissioner’s corporate social media accounts, ensuring profile information is up to date and devising a system to ensure regular monitoring of corporate accounts and related users/information.

Regular maintenance and monitoring of corporate accounts and related users/information leading to consistent standards and improved public confidence in the accuracy and timeliness of information.

Collection of information, copywriting and layout of the news items and internal advertisements on the PCC pages on the Dorset Police Intranet home page.

Consistent internal communications to ensure staff across the Force are informed and engaged in relation to Force priorities and operations.

Any other duties identified by the Head of the Department.

To provide support to the Department.

This list of duties is not restrictive or exhaustive and the post-holder may be required to carry out duties from time to time that are either commensurate with/or lower than the grade of the post. In some posts this might include the ad-hoc provision of guidance and informal training of new colleagues.

The contract of apprenticeship is solely for training purposes and in order for the individual to attain an NVQ Level in the agreed area, generally administration. Apprentices are expected to successfully complete each module of their chosen NVQ and failure to do so without reasonable explanation may result in the termination of any agreement. Apprentices will perform 30 hours at work and one day at college (7 hours) When your attendance at college is not required you will be expected to attend work for 37 hours per week at the workplace. Your weekly hours of work should be performed in line with the current flexitime arrangements which are enclosed in the Induction pack. Current office hours are 8.40 am to 5.00 pm Monday to Thursday and 8.40 am to 3.40 pm Friday, with 40 minutes for lunch daily. The office is closed on Saturday (five-day week). 9.TERMS OF APPOINTMENT

Apprentice Salary Apprentices are paid from the first day of their apprenticeship and they’re entitled to the National minimum wage which is £2.65 per hour. This rate applies to apprentices aged 16 to 18 and those aged 19 or over who are in their first year. Apprentices aged 19 or over who have completed their first year must be paid at least the minimum wage rate for their age. Apprentice Travel Allowance 3

Apprentices are entitled to claim for home-to-work mileage excluding the first 4 miles per return journey (2 miles each way). For this purpose apprentices will be required to complete an electronic claim form, completing the part for taxable expenses, however, they will not pay tax if their earnings are below the taxable limit The travel rates that are used are based on engine size The above terms are in accordance with the current Dorset Police Apprentices Policy. 10.KNOWLEDGE & SKILLS Ability to learn administrative tasks as directed.

Good I.T. skills including knowledge of Microsoft applications (i.e. Word, Excel and Outlook) as well as the ability to learn how to use new software and applications.

Good verbal and written communication skills.

Good interpersonal skills.

Self-motivated, organised with the capability of working to tight deadlines within a busy team environment.

Ability to work on own initiative, seeking advice where necessary.
