EXTRAS, SUPERSTORES AND METROS COLLEAGUE FUNDRAISING We’ve provided collection buckets for every store. These buckets are for colleague fundraising activities only. All monies raised through colleague fundraising initiatives should be banked as a Paid In DUK/HEART Collection Cans (71), DUK/HEART Staff Buckets (73), DUK/HEART Merchandise (75). CUSTOMER COLLECTION CANS You’ve also received collection cans for your checkouts, customer service desk, pharmacy, opticians, photo shop, phone shop and café. The money from these cans should be banked separately as a Paid In DUK/Heart Collection Cans (71). ALL ABOUT IT The fantastic fundraising activities you’re organising could make a great local interest story for your local newspapers and radio stations. LOCAL CELEBS AND VIPS A famous face always helps raise the profile of an event and boosts press coverage. If you know of any local celebrities, invite them along as a VIP guest. If you can’t find a local celebrity, then see if your Mayor, local councillor or MP will come along.

PRESS RELEASE TEMPLATES To make it easy to promote your fundraising activities, you can download pre- and post-event templates from the microsite. Simply replace the words / sentences in bold with specific information about the activity you’ve organised. Please only change the sentences highlighted. CONTACTING YOUR LOCAL MEDIA For contact details, look in the newspaper you are trying to contact and they will usually have a telephone number or email address. Call them, and ask to speak to the ‘newsdesk’. It is a good idea to call radio stations at half past the hour, as they will be reading out the news on the hour.

PHOTOGRAPHS & VIDEO It’s more likely that your story will make the newspaper if you provide fun and interesting pictures to bring the story to life.

TALKING TO JOURNALISTS Like everyone, journalists are very busy, so remember to keep it brief when phoning with your story. Highlight the local link early on to make it relevant. Have the press release close to hand. Ask for the journalist’s name and contact details so you can follow up with an email or phone call.

Try to wear a Tesco National Charity Partnership T-shirt and hold one of our banners, buckets or cans. It’s always a good idea to take your own pictures using a digital camera, even if a newspaper sends a photographer along. You can then send your pictures to journalists who weren’t able to attend. For photography permission forms, call us on the Hotline. If you need any help and support please contact your Regional Account Manager.

PREPARING FOR AN INTERVIEW Think carefully about what you want to say – write down all the key pieces of information you want to get across and have your press release to hand. Remember to mention that BHF and Diabetes UK are Tesco’s National Charity Partners.

BE SOCIAL If you have a Twitter or Facebook account then you already have an active network of friends, relatives and colleagues. Make sure they know what you’re up to. And don’t forget to share your story on Yammer!

On Friday 13 and Saturday 14 February, BHF volunteers will invite Tesco customers to share a bit of that Valentine’s love by donating their loose change to both of these inspirational charities. Later in the year Diabetes UK volunteers will be collecting for both charities on Saturday 13 and Sunday 14 June, as part of Diabetes Week.

A great way for customers to donate their coppers in selected stores. Customers can select to donate the money raised to the BHF or Diabetes UK.

Customers can pick up a freepost envelope in-store and send in any used ink cartridges. For every ink cartridge that can be recycled The Recycling Factory will make a donation.

PRODUCT PROMOTIONS

BAG FOR LIFE

Throughout the partnership there will be a range of product promotions that guarantee a donation made for each item sold. We’ll also provide point of sale boxes with pin badges or trolley key rings later on in the year.

A special edition Bag For Life will go on sale later on in the year to promote our partnership and raise vital funds.

ATM DONATIONS Customers can make a donation to the BHF or Diabetes UK through any Tesco Bank ATM by simply following the on-screen instructions.

CHRISTMAS CARDS A special range of Christmas cards will be on sale from Autumn 2015. All the money you raise will be split equally between Diabetes UK and the BHF. While the majority of funds will go to new healthy eating and lifestyle projects a proportion will also go towards the vital everyday work of these two inspirational charities.

Fundraising should be fun, but it’s important to make sure that your activity is legal and safe for everyone involved. PERMISSION If you’re holding an event in a public place, you must get permission first, either from the local authority or the property owner. PHOTOS Please make sure you ask permission from people you are taking photos of. FIRST AID If you are holding an event involving a number of people it’s a good idea to have first aid supplies and qualified first aiders if possible. You can get advice from St John Ambulance (sja.org.uk) or the Red Cross (redcross.org.uk). INSURANCE If your event involves the general public, please check you have Public Liability Insurance. FOOD FUNDRAISING To keep everyone safe, please check Food Standards Agency guidelines on preparing, handling, cooking and storing food. Visit food.gov.uk SAFETY Please make sure children are safe and that you do not allow anyone under 16 to collect money alone, or without an adult. You must comply with Health & Safety at Work Act 1974 and all other relevant subordinate legislation – this applies to volunteers as well. Tesco, BHF and Diabetes UK cannot be held responsible for accidents, so make sure that your event is safe for everyone. If you’re going to be carrying money around take care with personal security. Always use a safe route and be accompanied. Assess the risks involved and make sure they are eliminated or minimized to an acceptable level, particularly in the case of children. USING LOGOS If you need help and guidance on how and when to use the partnership logo, please contact the hotline. There are a few things to be aware of so best to give us a call if you’re in any doubt. GUIDELINES FOR COUNTING MONEY Always make sure you count the money in collection cans and buckets with a colleague so that you can both witness and confirm the amount raised.
