Educational Services Assistant Educational Services Coordinator

GENERAL STATEMENT OF DUTIES: The educational services team provides high-level administrative assistance and performs diversified tasks for educational programs, associate dean, division chairs, faculty and initiatives using a broad range of technical systems and software. The position requires individuals to work independently, collaboratively, and cross functionally, and to work effectively as part of a team. TYPICAL PHYSICAL DEMANDS AND WORKING CONDITIONS: Work is performed in an office environment and requires working at a computer for extended periods of time; eye-hand coordination, manual dexterity, the ability to distinguish letters and symbols, corrected vision and hearing within normal range. Requires speaking and writing proficiently in the English language. Requires the use of office equipment such as computers, printers, telephones, copiers and fax machines. High contact with members of the seminary community. Work is generally fast-paced and challenging. ESSENTIAL FUNCTIONS: 1. Perform varied and high-level administrative work which may include but is not limited to researching and assembling information from a variety of sources for the preparation of records, reports, or manuals; proof-reading, editing and formatting documents for publication; entering, retrieving, and inputting data into computer systems quickly and accurately. 2. Oversight and administration of the MA comprehensive exams and MDiv orals. 3. Develop, organize, and maintain ongoing evaluation documentation of faculty that can include student course evaluations and faculty observations. 4. Communicate, track, and maintain files of syllabi per semester. 5. Develop a process for maintaining, updating, and monitoring academic files. 6. Arrange proctoring of course exams as requested by full-time and associate faculty, and maintain positive relationship with Arapahoe Community College and other outside vendors. 7. Perform other duties as assigned by the Educational Services Coordinator.

EDUCATION/TRAINING College degree required; five years of administrative experience in an academic environment preferred, 2 years required. Experience at management level support preferred. Commitment to discern and maintain strict confidentiality when necessary. Staff, non-exempt, fulltime October 2015

QUALIFICATIONS: • Demonstrated experience in providing high level administrative assistance to one or more supervisors and /or working with internal and external parties to organize the various components needed to initiate, run and conclude major projects. • Demonstrated ability to take initiative, set priorities, meet deadlines, follow through on projects and handle a wide range of tasks simultaneously while paying strong attention to detail and maintain confidentiality when needed. • Strong multi-tasking skills required. Ability to thrive in a fast-paced environment is essential. • Proficiency in Word, Excel, Outlook, PowerPoint and Access required. • Ability to communicate effectively in written and oral form needed. • Internet tools, Endnote experience, Adobe based products, SharePoint, CampusVue, and familiarity with Turabian and APA manuals of style is a plus. Establish positive relationships with both internal and external constituencies. Present an efficient and well run office with tasks well prioritized, completed and performed on time.
