Executive Assistant Full-time, Exempt SUMMARY OF RESPONSIBILITIES The Executive Assistant provides senior level administrative support and other project support to the Executive Administrator, serving as the primary contact for internal and external communication on a variety of matters pertaining to the Executive Administrator. The incumbent must perform all job duties as outlined in this job description to support ongoing mission of the church while committed in accordance with the ​Baptist Faith and Message ​ (2000 edition). ESSENTIAL DUTIES 25% Administrative Support for the Office of the Executive Administrator ● ● ● ●

Prepare and edit correspondence, communications, presentations and other documents Manage and maintain Executive Administrator’s schedule and appointments Arrange and coordinate meetings, receiving and interacting with incoming visitors as needed Monitor & screen incoming email communications, responding to communications that do not require a direct response from Executive Administrator

75% Support for Finance and Human Resources ●



Execute HR responsibilities on a rotation basis with HR Specialist o Ensure Church is meeting regulatory guidelines and updating policies, programs and practices. o Process weekly payroll o Maintain background checks for employees Execute Accounting responsibilities on a rotation with Accounting Specialist o Coordinate weekly contribution processing o Review coding and payment of invoices o Coordinate with audit firm and outside vendors o Use independent discretion to prepare reports ▪ Financial Statements, Monthly Expense Reports, Sales and Account Analysis

These duties are subject to change as church needs and strategies evolve. Employee may be required to perform other duties. EDUCATION/TRAINING ●

Bachelor’s degree in Accounting or Finance preferred

EXPERIENCE ● ●

A minimum of 5-7 years’ experience providing executive administrative support for senior management A minimum of 2-3 years experience in HR and/or finance administration

REQUIRED SKILLS ● ● ● ● ● ● ●

Proficiency in MS Excel, Word and accounting packages is essential Ability to understand and apply basic accounting practices and procedures including report generation skills Knowledge of standard office administrative practices and procedures Organizational and coordination skills Written and verbal communication skills Ability to function independently Ability to handle confidential information with discretion

PHYSICAL DEMANDS The usual and customary methods of performing the duties requires the following physical demands: ● ●

Sitting and standing: finger dexterity, and near vision. Must be able to lift 10-15 pounds.
