Guidelines for Participants  The deadline for submitting applications is April 1, 2018. No exceptions.  Please visit ​www.givelocalyork.org​ to sign up for ongoing information and to submit application.  Pre-registration is now live at​ ​www.givelocalyork.org/participate​. Sign up now!  The official Give Local York application will be made available in early 2018.  Participating organizations should read the following guidelines carefully. ​Participating organizations will  be required to review and accept all requirements for participation during the online application process​:   

Eligibility Requirements for applicant organizations:   

 

● Must be registered with the US Department of Treasury, Section 501(c)(3) and must have tax  exempt status, OR be a chapter or affiliate member in good standing of a national organization that  has current tax exempt status OR has a current contract with a fiscal agent or sponsor that  maintains a 501(c)(3) status. Information provided will be verified using Guidestar.  ● Has current Bureau of Charitable Organizations (BCO) registration or has a fiscal sponsor that  maintains this certification.  ● Provides services that benefit York County residents.  ● Has an active and responsible governing body, whose members have no material conflict of interest  and a majority of whom serve without compensation, that directs the organization.  ● All participants will be required to pay $150 registration fee for application to be accepted.  ● Agrees to be a participant in Give Local York and abide by the guidelines of the program. 

Stretch Pool Participation​: 

  Participating organizations will receive a proportional share of a “stretch pool” of funds. The proportional  share will be based on the total dollars raised by the individual participating organization during the  24-hour period in relation to total dollars raised by all participating organizations. Example: If the  participating organization raises 2% of total funds raised by all participating organizations during the  designated 24-hour period, the participating organization will receive 2% of the stretch pool.   

Give Local York is an online only fundraising program. For donations to be counted, donations must be made  by credit card through ​www.givelocalyork.org​ and designated to the participant between 12:00am and  11:59pm on May 4, 2018. Donations made or committed at any other time and/or by any other method will  not be counted for purposes of the stretch pool.    York Federal Fellows Alumni Association, the sponsoring entity, is assessing no fees itself to provide the  platform or programming associated with Give Local York.    As with any credit card transaction, there are typical transaction fees assessed as well as technology and  processing costs to execute the event. Give Local York fees per donation will be approximately 6% per  donation, which means that 94% of each designated donation for your organization in the 24 hour period  will go directly to your organization! Donors will have the option of covering those fees in their donation and  will receive a tax deduction on the full donation amount. Total gifts before fees to your organization will be  used as the basis for determining stretch amount.    The participant should promote the event to its donors through methods of its choosing and leverage the  platform and programming provided by Give Local York. Any paid promotional methods utilized by the  participant are solely at the participant’s discretion and expense.    Give Local York will provide a live link to all participants that list the contact and amount  information for their donors​.     Donations acknowledgements for tax purposes will be made through The K Foundation (“TKF”), the fiscal  sponsor of Give Local York, electronically via email. Credit card statements will show donation to “The K  Foundation (TKF).” Donor information will not be shared, given or sold to a third party. Participating  organization may also choose to follow up with a “thank you,” but this correspondence must not include the  amount of the gift or any tax language.    It is prohibited for participant organizations to donate from their own organization to their own  organization.    The minimum gift per donor is $10; there is no maximum amount.    The final report and payment will be issued to the participant organization within 90 days of the event  close.    GIVE LOCAL YORK MAKES NO WARRANTIES OR REPRESENTATIONS AS THE SUCCESS OF GIVE LOCAL YORK  OR OF ANY INDIVIDUAL PARTICIPANT AND IN NO WAY, DIRECTLY OR INDIRECTLY, GUARANTEES ANY  RESULTS OR AMOUNTS OF DONATIONS.

  What is Give Local York?  Making giving history in York County! On May 4, 2018, the York Federal Fellows Alumni Association is  hosting Give Local York, a 24-hour online giving extravaganza. With the generous support of Presenting  Sponsor Powder Mill Foundation, our Event Sponsors, and thousands of individual donors, we will make  history in 2018!       How does it work?   For 24 hours--from midnight to 11:59pm--on May 4 donors may visit ​www.givelocalyork.org​ to make secure  donations to their favorite local nonprofit organizations. The minimum donation is $10 and there is no  maximum. Every dollar donated to participating nonprofits will be enhanced with bonus funds provided by  Give Local York sponsors—making donor dollars stretch further! Nonprofits will also be eligible for cash  prizes!       When will Give Local York take place?   Give Local York will take place from 12am through 11:59pm on May 4, 2018. All event-related donations  must be made through ​www.givelocalyork.org​ during that 24-hour period.

  Why should my organization participate?   Give Local York is your opportunity to:  ● raise awareness about your organization  ● engage existing donors and reach new ones  ● enhance every dollar donated with bonus funds  ● expand your online and social media presence and fundraising success  ● learn and deploy new marketing strategies  ● support your immediate operating needs  ● engage your staff, board and supporters in new ways  ● plug into a community of doers & givers  ● and have fun!   

How does my nonprofit sign up?  Complete your online nonprofit profile at www.givelocalyork.org no later than 5pm. on Sunday, April 1,  2018. Upon completing the online registration, you will be provided instructions on how to submit your  $150 registration fee. Upon receipt of your payment and review of your registration, you will receive  communication as to your acceptance into the Give Local York event.      How do you vet the organization initially and yearly to determine that the participating  organization is actually and effectively providing charitable services to the York population?  Information provided by organizations during the application process will be verified using Guidestar. Give  Local York will not be extensively vetting organizations beyond meeting the basic participation  requirements.      Is it possible to make changes to my organization’s profile?  Yes, you will be able to edit your Give Local profile. You can access your profile by logging in here:  https://givingday.kimbia.com/login​.       Who should I contact if I have questions or need help completing my organization’s online  profile?  Contact Courtney Lewis at ​[email protected]​ or 717-801-4808.      How much of each gift will my organization receive?  Your organization will receive 94% of the amount you give. We must pay a 3% credit card processing fee  (a typical fee charged on all online transactions and not unique to Give Local), as well as a 2.99% fee as to  the provider of Give Local’s online giving platform. ​Donors are given the option to cover these fees  during the donation process​.     Please note that the York Federal Fellows Alumni Association does not charge any fee for providing Give  Local to the community and will not keep any portion of donors’ Give Local York gifts.       How will Stretch Pool funds and prizes be awarded?  Bonus Funds:​ The Give Local York staff and committee are actively raising money for the stretch pool  fund and prize pool. Stretch Pool funds will be shared by all participating nonprofits receiving donations  during Give Local York. The amount received will be proportional to each organization’s percentage of the  total funds raised during the event. For example, if your organization receives 3% of the total funds raised 

through Give Local, you will receive 3% of the available bonus funds. Stretch Pool funds are based on  100% of each gift, before fees are assessed.    Prizes: ​Throughout Give Local, prizes will be awarded according to criteria to be announced on  the Give Local website. Some prizes are competitive, while others are awarded randomly. The  list of prizes will be posted in late March.      Can an organization win more than one prize?   Organizations may win multiple competitive prizes.       How can I help make the online giving challenge a success for my organization and our  community?   Give Local York is committed to helping all organizations succeed during the Give Local campaign. Here are  a few tips to make the most of the event:    ● Refer to the Toolkit page for information on information sessions and trainings, an 8-week  Workplan, a media kit, examples of Give Local communications, event logos and more!    ● If you are not actively using social media, consider setting up accounts and start building up your  list of supporters now.   ● Map out a Give Local outreach plan and include Give Local in your communications between now  and May 4 so your supporters know about this opportunity and can plan ahead.    ● Pay close attention to available prizes and choose one or two to for which you will compete.    ● Be sure to have fun on May 4 – your creativity and energy will contribute to your success!       What are the expectations for organizations on the day of the event?  Participating organizations will be given to tools to make the most of Give Day - from digital assets to  training to partnerships to have custom marketing collateral created, etc. Participating organizations are  expected to follow the guidelines as stated. Ultimately Give Day will be what you make of it - whether you  choose to simply send some emails and make a Facebook post or go “all in” with events, activities,  costumes, etc.!      Can my organization host a special event?   Yes! We encourage you to plan an event, partner with other participating nonprofits, or connect with local  businesses to raise awareness about Give Local York. To submit your nonprofit's Give Local event for  inclusion on our website, please email ​[email protected]​.     

Give Local York will be providing the platform and the promotion for Give Day but will not be  micromanaging every event and activity that takes place that day. Give Day will be successful when  everyone feels empowered to “do their own thing” while we’re all doing it together! That being said, we’re  happy to help make connections and forge partnerships. You can contact Meagan at  [email protected] with those questions.      Can we encourage donations by giving away prizes or free gifts?   Unfortunately not. All donations made during Give Local York must be 100% tax deductible. You may not  offer memberships or gifts as a benefit in exchange for donations made during the event.       Are gifts that offer fair market value benefits eligible? If so, how is that fair market value  communicated to the donor?  On Give Day, through the online giving platform, we’d like to keep the focus on dollars donated to make  giving as streamlined and easy as possible. That being said, organizations are welcome to coordinate their  own partnerships in an offline fashion that takes place outside of Give Day and the stretch pool.      Can we coordinate additional bonus funds for our organization?   Yes, and we encourage you to do so! Your own donors may pledge funds to be paid during or after the  challenge to match some or all of your Give Local donations. We encourage you to recruit donors to match a  portion of your gifts—it may encourage others to give more freely during Give Local if they know that their  contribution will be matched. Publicize the availability of matching funds in communications with donors  and in your Give Local profile. ​Please note that matching funds paid directly to your organization are not  eligible for Give Local Stretch Pool funds.      When will my organization receive its Give Local York funds?   You will receive a check for donations (less fees for credit card processing and the online giving platform),  Stretch Pool funds and any prize money you win within 90 days of the event. All disbursements will be  made by check from The K Foundation (TKF).      Should my organization send acknowledgment letters to donors for tax purposes?  No. After making an online gift, the donor will immediately receive an email from The K Foundation  confirming receipt of the donation and including the appropriate charitable deduction language for tax  purposes.    

We encourage you to acknowledge donations by following-up with donors and letting them know the impact  of their gifts and how grateful you are for their support. However, your communications should NOT include  any charitable deduction language – the donor will have already received an email receipt for income tax  purposes from The K Foundation and a second receipt could cause confusion and tax errors for donors.      Will my organization receive donor information?   Yes, prior to Give Local York, the primary contact will be sent a unique link to download donor reports both  during and after the event. Individuals making gifts to you through Give Local are your donors and should be  treated as such. Unless a donor has made their gift anonymously, their information will appear on your  donor report.       How do you anticipate this will affect nonprofit development throughout the 2018 year?  Research exists from other Give Day communities that show Give Days increase philanthropy throughout  the year, so we don’t anticipate that this will be a case where donors give on May 4 and never again.  Additionally, the new donors you receive on Give Day are yours for cultivation and continuing that  relationship. It’s also entirely up to your organization if Give Day will just be another tool in your  fundraising belt, or if you choose to put all of your eggs in the Give Local basket.
