Internal, Fertility Support, Version1, Page 1 of 3 Internal, May 2015

We want to support families, and this document outlines our policy regarding colleagues who are having fertility treatment such as IVF. It is subject to change from time to time so please ensure you are reading the most up-todate version.

You can choose to use fertility leave at any point in your treatment process however, most colleagues use it at times when a full day or a few days off work is required e.g. after egg collection or surgical sperm retrieval. If you only need a couple of hours or half a day off work (e.g. for a scan or to donate sperm) see section two.

This policy is applicable to you if you are undergoing fertility treatment.

Some people, for a range of reasons, need medical support to conceive a baby.

Your foster care leave pay is based on your normal contractual pay which includes night premiums (and other premiums for Sunday etc.). Contractual pay not all the premiums you would get for working e.g. a full-time Baker who is expected to work from 3am every morning would get contracted including premiums.

When we talk about fertility treatment within this policy, we mean treatment such as:     

Scans, ultrasounds, sperm donation and blood tests Egg collection Embryo transferral Vasectomy reversal Surgical sperm retrieval

You need to: 

complete a Leave Request Form and give it to your manager, providing as much notice as possible (but 24 hours as a minimum); and provide proof of your appointment/treatment.

Please try to arrange any short appointments such as blood tests and scans outside your normal working hours. If you can’t do this then your manager will try to reorganise your work so you can make up the time later e.g. shift swap or change your day off. If this isn’t possible, and you can’t change the appointment then we will give you paid leave.

If you’re having fertility treatment as outlined in section two, and have worked at least one year with us then you’re eligible for up to one week’s paid fertility leave per cycle of treatment. This means if you normally work 4 days a week then you can take 4 days paid leave per cycle.

If you need more time off work than this policy allows, then discuss the following options with your manager:    

Holiday Compassionate leave Lifestyle break Shift swap

No. Provided you have given your manager at least 24 hours’ notice of your treatment taking place, we will accommodate your request.

This can be taken as single days or blocks of days. You can have a weeks’ fertility leave a maximum of three times during your employment with us. If you’re not eligible for paid fertility leave e.g. because you’re the partner of someone having treatment, please talk to your manager about taking holiday or compassionate leave to cover any time off you need.

Your benefits will remain unchanged while you are on fertility leave.

 If your treatment makes you feel too unwell to come to work then you’ll need to report your absence in the normal way (including being signed-off by your GP if your absence is over seven days). This time off will be classed as sick and paid sick pay if you have sufficient entitlement. Your absence will be recorded as Planned Paid Absence
