JOB DESCRIPTION JOB TITLE:

Administrative Assistant (part-time)

REPORTS TO: Vice President of Student Life and Enrollment Management GENERAL STATEMENT OF DUTIES: Organizes, coordinates and implements the varied administrative functions of the SLEM office and provides effective and efficient support to the Vice President of Student Life and Enrollment Management. Also functions as a key person in the implementation of departmental activities. ESSENTIAL FUNCTIONS: 1. Organizes and manages the office of the Vice President, such as answering and directing phone calls and emails, hosting guests of the Vice President, processing mail and managing the calendar of the Vice President. 2. Coordinates the extensive travel arrangements of the Vice President. 3. Coordinates the SLEM department budgets and works with respective budget managers in the department. 4. Performs administrative work for the Vice President such as information and document processing, maintaining filing systems, record keeping, and managing correspondence. Compiles research data for reports using independent analysis and exercise of judgment. 5. When the Vice President is off campus, keeps regular contact via phone or e-mail, keeping him/her updated regarding pertinent information. 6. Coordinates meetings and special events for the SLEM department. 7. Interfaces with the SLEM Directors for overall administration of the office. 8. May serve on committees or task forces as assigned by the Vice President. 9. Performs duties assigned in conjunction with meetings of the seminary’s board of trustees, including but not limited to, compilation of reports, coordination of meetings and taking minutes for the committee meetings. 10. Works with the Vice President on other projects and perform duties that further the recruiting and retention potential of the seminary. EDUCATION/ TRAINING/SKILLS: High school diploma required; college degree preferred; experience at executive level support strongly preferred. Developed interpersonal skills. Ability and commitment to discern and maintain confidentiality. Strong writing skills, editing skills, and proofreading abilities are required. Ability to communicate effectively in written and oral form. Knowledge of office protocol and administrative procedures is required. Administrative skills, such as typing, filing, and experience with standard office equipment is required. A strong working knowledge of Microsoft Office Suite is required.

Innovative, flexible, and the ability to maintain confidentiality. Loyalty to the seminary President, Vice President for Student Life and Enrollment Management, administration, and colleagues. OUTCOMES: An efficient and well run office with tasks performed effectively and on time. Positive relationships established with both internal and external constituencies. Tasks well prioritized. Adequate and appropriate support provided to the rest of the Student Life and Enrollment Management department, resulting in a well-organized, student friendly, and smoothly running department. TYPICAL PHYSICAL DEMANDS AND WORKING CONDITIONS: Requires sitting, standing and walking for extensive periods of time and frequent bending, stooping or stretching. Work is performed in an office environment and requires working at a computer for extensive periods of time; eye-hand coordination, manual dexterity, the ability to distinguish letters and symbols, corrected vision and hearing within normal range. Requires speaking and writing proficiently in the English language. Requires working under occasional stressful conditions. Requires the use of office equipment such as computers, printers, telephones, copiers, adding machines, fax machines. High contact with members of the seminary community and external public.
