Please note there have been some changes from the provisional timetable that was issued to accommodate an increase in entry numbers. Please consult the timetable carefully to see if any of your event times have changed. ARRIVAL: Please arrive plenty of time prior to your scheduled start time as all teams will need to accredit before being allowed to enter restricted zones. Please see the accreditation information below or visit www.bucs.org.uk/accreditation09. Please note that accreditation at the EIS will be open on Friday for those people who wish to accredit early. Competitors can accredit individually however if a team arrives together it would be recommended that one representative can accredit on behalf of all the institution’s members. STUDENT IDENTIFICATION MUST BE PRESENTED FOR ALL TEAM MEMBERS. IF A TEAM MEMBER DOES NOT HAVE HIS/HER STUDENT IDENTIFICATION THEY WILL NOT BE PERMITTED TO COMPETE. NUS WILL NOT BE ACCEPTED. ATHLETE SUPPORT STAFF (E.G. COACHES, MANAGERS, PHYSIOS) Accreditation to competition and warm-up areas will be restricted to a maximum of three team support staff per university. Please complete and return the form issued in this edition of Essentials detailing the names of these individuals. There will be some provision to accredit on the day but this will be at the discretion of the accreditation staff and numbers will be limited per institution if demand is high. In order for coaches to accredit on the day they will need to come to the accreditation desk with their athlete. ENTRIES: It is the responsibility of each institution to check the below entries (pages 10-22) are correct. Any errors or missing PBs should be reported immediately to [email protected]. CHANGING: Changing facilities will be available. Please do not leave valuable possessions in the changing rooms as you will not have exclusive use of the facilities. MEDICAL: Physiotherapists, doctors and paramedics will be onsite. CATERING: The cafeteria at the EIS will be open throughout the event. SPECTATORS: Universities are encouraged to invite spectators to the BUCS Championships. Entry is £3.00 per person and this gives access to all 24 sports included in the Championships from 11-15 March 2009. Tickets are not being pre sold and can be bought at any of the Championship venues on the day of competition. 2

TEAM REGISTRATION, WITHDRAWAL & SUBSTITUTION PROCEDURES: Team Registration and the Withdrawal and Substitutions Desk is open the following hours Friday 13 March 2009 – 17.00 – 19.00 Saturday 14 March 2009 – 07.30 – 18.00 Sunday 15 March 2009 – 07.30 – 13.30 Where possible teams are encouraged to register their team, make and withdrawals/substitutions and collect athlete accreditation on Friday evening as it is expected that Saturday morning will be very busy. This is especially important for those with events first thing on Saturday morning. Registration Procedure: 1. On arrival at the EIS team captains/coaches need to register at the Team Registration Desk and collect their Team Pack which includes competition numbers, copies of the entry lists, relay declaration sheets, withdrawal and substitution forms. 2. Teams that have competitors in the first events on Saturday are required to register no later than 08.30am on Saturday 14 March. 3. Teams need to register only once. It will be assumed that once an Institution has registered, ALL their competitors will participate in every event that they have entered. PLEASE NOTE - Failure to register will lead to the institution being withdrawn from all events until they have registered. At least 90 minutes prior to your event: 1. The 90 minute deadline will be judged from the clock on the Withdrawals and Substitutions desk. 2. Alterations to the name of the competitor entered by an institution and listed in the programme for an event may be made UP TO 90 MINUTES HOUR BEFORE the event is due to take place. 3. Substitutions can only be made from the list of reserves submitted to BUCS by institutions prior to the Championships (see attached form) or with an individual who has already been entered into another event and is listed elsewhere in the programme. 4. The withdrawal and substitution deadline is 90 MINUTES PRIOR TO THE START OF EACH EVENT. The captain must complete a withdrawal/substitution form and submit this to the withdrawals and substitutions desk by this time. 5. Withdrawals and substitutions may be made by email to [email protected] up to midnight on Tuesday 10 March. After this time withdrawals and substitutions must be made in person at the event. It is possible to withdraw or substitute by phone by calling 0114 223 5650 or 07790 155 505 during the Championships when the Withdrawals and Substitutions Desk is open (see above times). The call must be received before the 90 minute deadline. Messages should NOT be left on the mobile answer phone as these will not be accepted. 6. Competitors/Teams failing to advise the Withdrawals and Substitutions Desk of their withdrawal from an event before the 90 minute deadline will be liable to a fine. www.thebucschampionships.co.uk COMPETITOR INFORMATION: REPORTING: All competitors must report to the marshalling area at least 10 minutes before their event is due to start wearing their correct competition numbers as detailed in the entry lists. The responsibility of being on the mark at the time specified in the programme, after being called by the stewards, lies entirely with the competitor. In the case of field events competitors will be permitted to enter 30 minutes before the start of the event to report to the Chief Judge for that event, provided the area is available. SEEDING: Competitors should note that the lane draw for HEATS (Round 1) is RANDOM and based upon Personal Best information. Thereafter seeding will occur based upon performance from the previous round. Information on the lane draws/pool grouping for each event will be posted on the results board after the 90 minute withdrawal and substitution deadline has passed and the start sheets have been printed. WITHDRAWALS: Once an athlete has qualified for a subsequent round of a particular event they are not permitted to opt out of that event and continue to compete in the Championships, whether it is on day one or day two. This applies to both the track and field competitions. The track referee can prevent a competitor competing on the track if the competitor has opted out of a field event in which he/she has qualified for a subsequent round. The field referee has the same powers to exclude from a field event an athlete if he/she has opted out of a track event [UKA Reg 115(3)]. COMPETITION NUMBERS: Each competitor must wear a number corresponding with his/her Institution number as detailed on the entry lists. All competitors, with the exception of High Jump and Pole Vault competitors must wear two numbers, one front and one back. In the relays all runners must wear the same number – the lowest of their two institution numbers. OPENING HEIGHTS & QUALIFICATION: The following starting heights and qualification heights/distances will be in place:

RELAY TEAMS: Teams of up to 6 athletes must be declared on the Relay Declaration forms provided. Any four athletes from these nominated 6 may run at any stage of the relay competition. Relay runners must be on the original entry list or reserve list. Only one relay per Institution can take part.

www.thebucschampionships.co.uk EQUIPMENT: Shot Put – Shot Puts will be provided. Competitors may only use their own implements by arrangement with the Field Referee, to whom they should report not less than one hour before the respective event. All personal equipment must be weighed and measured. Such personal equipment is not available for use by other athletes without the permission of the owner. Vaulting Poles - will not be supplied for the pole vault. Starting Blocks - Competitors are only permitted to use the stadium starting blocks. Spikes - The maximum spike length allowed is 6mm, spot checks may occur. Spiked shoes must not be worn outside of the Athletic Arena. Numbers - Numbers should not be reduced in size through cutting or folding WARMING UP: All warming up must be done away from the track. Athletes should use the long sprint straight at the rear of the hall to warm up DRUG TESTING: Drug testing may take place at these Championships. CAPTAINS MEETING: The Captains’ Meeting will take place on Sunday 15 March. Please listen for announcements regarding a time and venue. Items for an agenda for this meeting are welcome and should be emailed to [email protected]. MEDALS & TEAM SCORING: Medals will be awarded to the top three finishers in each event. Presentations will take place during the meeting and medal winners are asked to listen to announcements and proceed to the medal presentation area when required. Team Points will be awarded for the first 8 finishers in an event. BUCS points will be awarded to the first four finishers.

All competitors or spectators have the chance to win a dance with BUCS ambassador, Austin Healey on the Saturday evening. CHAMPIONSHIPS HOODIE: For the first-time athletes will be able to buy an exclusive and limited edition BUCS Championships hoodie at the Yorkshire-based Championships next month (11-15 March). Designed especially for athletes taking part in the five day event, the hoodies feature every one of the 24 sports available. Who is Right To Play? Right To Play is an international humanitarian organization that uses sport and play as a tool for development of children and youth in the most disadvantaged areas of the world. We work with over 700,000 children twice a week, in over 23 countries throughout Africa, Asia, and the Middle East. We have a number of Athlete ambassadors, like Andy Murray, Lance Armstrong, and Frank Lampard, which we use as a source of inspiration for the children we work with. What does Right To Play do? Right To Play uses sport and play programs to promote opportunities for development, teach life skills and health education and build stronger, more peaceful communities. To do this, Right To Play trains local Coaches to run programs thereby creating the foundation in a community for regular and longterm sport and play programming and for individual and community leadership. Right To Play also uses sport and play to mobilise and educate communities around key health issues to support national health objectives, in particular HIV and AIDS prevention and awareness and vaccination campaigns.
