PARENT INFORMATION PACKET JULY 19 – 23, 2016

July 6, 2016 Dear Parent(s): We are so excited that your student(s) is going to Camp Paradise. This year is going to be a great year: Pastor Clint Pressley will be the Camp Speaker and Pastor John Stegemerten will lead worship. The students will be led through Scripture as they discover their lives are Proof of God’s grace. There are a few things you need to know to prepare for Camp. Hopefully we will answer all of your questions in this packet. If you still have questions, please feel free to call the Student Ministry office at 704-531-4023 (Main campus) or 704-5315348 (North campus). If something has come up and your student will not be able to go to Camp, please let us know as soon as possible so we can adjust our lists, transportation numbers, etc. Please note that registration and pick-up for Camp will be from Hickory Grove North Campus. Breakfast will not be served at registration. Please find enclosed the following information that you will need as you prepare your Student(s) for Camp: 

PARENT & STUDENT INFO Schedule & Registration Overview WEDNESDAY, JULY 6: Camp Registration and Information Meeting 

PARENTS OF ALL REGISTERED MIDDLE AND HIGH SCHOOL STUDENTS o

All payment balances for students must be paid in full, Medical Releases, Camp Waivers, and Student Paintball Waivers will be due at this event.

o

All forms and any final payment balances must be turned in

o

If you are receiving this information via e-mail and missed the meeting, you must bring your final payment and forms by one of the Student Ministry Offices before departure on the 19th.

o

Forms and payments will not be accepted the morning of July 19, unless prior arrangements are made with the Student Ministry Offices.

TUESDAY, JULY 19: Leave for Camp Paradise 

ALL MIDDLE AND HIGH SCHOOL STUDENTS meet at Hickory Grove NORTH Campus at 8:00 am for registration o

Required forms and final payment balances will not be accepted on this day, unless prior arrangements have been made with the Student Ministry Offices. Students without the required forms and payments will not be allowed on the buses to Camp.

o

Prior to arriving for registration, place all medicines in a Ziploc baggie. On an index card, write the student’s name, list of medicines, and dosing instructions. Enclose baggie in baggie with medication.

When you arrive at North for registration, follow signs for parking. Please ONLY park in Camp Paradise designated areas. Once parked, go directly to the appropriate student registration table where you will be directed to place your luggage under a charter bus. Take all items you want on the bus with you at this time. Make sure all medicine is packed separately for turning into the nurse. You will be directed to the restroom, to the medical table (if you have medicine), and onto the bus.

o

ALL student medicine MUST be given to the Camp Nurse at registration. Do not pack any medicine in luggage. This includes prescription or over-the-counter medicine.

o

Scheduled to leave North for Camp 8:30 am

o

Scheduled to arrive at Camp at 11:45 am. Lunch will be at Camp for all Students and Adults

SATURDAY, JULY 23: Pick-up from North Campus 

Leave Camp at 11:45 am



Return to NORTH Campus at 4:00 pm for parent pick-up



Celebration Service will take place at the late services at Main and North Campus the following Sunday, July 24

I-85 North Head north on I-85 Take exit 49 for Bruton Smith Blvd go 0.3 miles on ramp Turn left onto Bruton Smith Blvd and continue on Concord Mills Blvd go 1.2 miles Turn left onto Derita Road and continue on Odell School Road go 0.5 miles Turn left into North Campus and follow signs to registration

From areas east or Southeast of Charlotte (Matthews or Mint Hill)     

Merge onto Interstate 485 (outer) Take exit 28 onto Mallard Creek Road W Keep right on Mallard Creek Road W Turn right onto Odell School Road Turn left into North Campus and follow signs to registration

From areas in Charlotte or Southwest Charlotte     

CAMP ACTIVITIES Camp offers a number of exciting activities that your student can enjoy over the course of the week. All students will be participating in the following activities, which include but are not limited to: 

Field activities (such as running, throwing, kicking, physical contact, etc…)



Low Ropes Course (team building activities that occur on the ground or just a few feet off the ground)



Swimming in the lake (only after passing a swim test administered by Camp Bob Cooper life guards)



Canoeing



Water Sports (such as tubing, water skiing, and wake boarding behind water craft, riding on a jet ski (with an adult volunteer driver), and riding in a boat, etc…)



"The Blob" (huge, inflated water tube that bounces you into water)



Riding in a boat or on a jet ski with an adult volunteer driver



High Ropes Course and Climbing Elements (with a harness and trained Camp Bob Cooper Staff administering the activities)



Paintball – REQUIRES ADDITIONAL WAIVER FORM FOR CAMP BOB COOPER, see the enclosed form (face and eye protection provided, refer to the “Stuff to Bring” section if you plan to play)

The Camp Waiver Form must be signed by the student’s legal guardian and notarized for the student to attend Camp. There will be lifeguards and adult leaders at the lake every day for swimming, canoeing, and “The Blob”. Students will not be allowed to drive a boat or a jet ski.

If you are concerned about your student participating in any of the activities, please contact the Student Ministry Offices to discuss this further.

REQUIRED FORMS The following forms are included in this packet, are required for your student(s) to attend Camp, and must be turned in at the mandatory parent meeting on July 6, and absolutely no later than the morning of July 19 prior to the students leaving for Camp: 

CAMP WAIVER FORM: Must be signed by the parent and NOTARIZED. You must complete the enclosed waiver form if your student is going to camp. If waivers are not completed, your student will not be allowed on the bus. A notary will be available at the mandatory parent meeting on July 6.



2016 HG ACTIVITY & MEDICAL RELEASE FORM: Must be signed by the parent and NOTARIZED. If you have already turned in a 2016 form (i.e.: Disciple Now), please disregard this. Please note a new form must be completed every calendar year. A notary will be available at the mandatory parent meeting on July 6.



PAINTBALL WAIVER FORM: Must be signed by the parent and student. You must complete

the enclosed waiver form if your student can participate in paintball. To play paintball, students will need to bring a long sleeved shirt and a pair of long pants to wear during the games. Due to the policies of the Camp, we are only allowed to use the markers supplied by the Camp. Students will not be allowed to bring their own paintball marker.

CELL PHONE POLICY All students are encouraged to leave cell phones and all other electronics at home; however, we understand this may not be possible for cell phones. All I-pods, MP3 players, hand-held game consoles, etc. shall not be brought to Camp. Parents should be cautioned that cell phones and other electronics are easily lost or misplaced at Camp. Hickory Grove Staff and Camp Bob Cooper Staff shall not be held liable for any lost or stolen items, including cell phones. If cell phones are brought to Camp they shall only be used to contact parents at appropriate times during the day. At no time shall a cell phone be used during a worship service or family group time. If a student is found to be abusing the privilege of having a cell phone at Camp, the phone will be confiscated and returned to the student upon arriving back at North Campus on Saturday Evening. Cell phone service at Camp is “spotty” at best; some carriers may not even have service in that area. If a cell phone is confiscated, the student will still be allowed to contact their parents, at any time upon request. This will be communicated to the student at the time of confiscation.

FREQUENTLY ASKED QUESTIONS Q: What should I do if my student calls me and wants to come home? A: There have been occasions where students will call home and request for a parent to come and pick them up without telling their Family Group Leader or a Director. If your student calls you and wants to be picked up from camp, please contact one of the Pastors listed BEFORE coming. We would like to speak with your student and encourage them to stay. We will talk with you personally, and if the only option is for the student to go home, we can work through that at the time. Please do not come to pick up your student without notifying one of the numbers above. Q: What are the sleeping arrangements? A: The Camp has several “bunk houses” with rooms that sleep 12-16 people per room. Bed linens are not provided, please bring your own. Adult rooms are also available in the bunkhouses. Each bunkhouse is air conditioned. Q: What is the adult to student ratio? A: Generally, there is at least one adult to every three students at Camp. All family groups, which consist of 10-12 students, will have at least two adult leaders (male and female). Q: Will there be a medical professional on site? A: Yes, we will be bringing medical staff along with us. If your student has any special medical needs (i.e. A.D.D., frequent seizures, asthma, diabetic medications, severe allergies) our medical staff need to know. All medications are administered by the medical staff. There will be at least two trained medical staff at Camp. Q: What kind of food will be served? A: Camp food is definitely not gourmet, but it is very similar to school cafeteria food. Students will be fed 3 “buffet style” meals a day. If your student is a picky eater, peanut butter and jelly is usually available at each meal. If your student has special dietary needs please do not let that keep him/her from Camp, call us and we can work something out. It is critical for your student to eat balanced meals and stay hydrated at Camp. Camp can be physically exhausting and students that do not eat or drink appropriately will pay for it by spending quality time with the Camp medical staff and not participating in Camp activities.

STUFF TO BRING 

Casual clothes (enough for 4 days)



Clothes for recreation and clothes appropriate for worship (If an adult decides your clothing is inappropriate you will be asked to change)



o

Closed-toed shoes for land recreation activities (most of these activities require closed toed shoes)

o

NO short shorts (girls are not allowed to roll shorts up to make them shorter)

o

NO thin/spaghetti strap tank tops at any time

o

NO skirts or dresses

Bathing suit o

Girls – modest one piece or tankinis are required for participation in water activities, including outdoor showering. THERE SHALL BE NO TUMMY SHOWING AND NO T-SHIRTS OVER TWO-PIECE BATHING SUITS (girls wearing inappropriate bathing suits will be asked by a female leader to change into an acceptable one piece. If one is not available, they will be asked not to participate in water activities.)

o

Boys – no Jammers or bathing suits hanging off hips revealing underwear or Jammers



Sheets for a twin bed or sleeping bag, blanket(s), pillow, flashlight with extra batteries (dorms are air-conditioned, so it may get cold at night. NO FANS ALLOWED!)



Towels and washcloths (enough for 5 days); separate beach towels are also useful



Personal hygiene items (including, but not limited to shampoo, soap, deodorant, toothbrush, toothpaste…)



Medicine (see page 1 for instructions on how to handle medicine, do not pack in suitcase)



Bug repellent



Plenty of sunscreen. It is usually very hot and sunny!



Students: Spending money for the following:



o

Canteen/Snack Shack and drink machines, each day bring $1 bills, no change

o

Lunch on the way home

Decorations for Family Group Spirit Item o

Students and Family Group Leaders are encouraged to bring items to decorate their team spirit item. Markers will be provided.

The following items shall not be brought to camp: 

Electronics (i.e. hand-held game consoles (PSP's, Nintendo DS, etc.), no iPods, etc.).



Tobacco products, drugs, alcohol, weapons, fireworks, or any illegal item or substance. These items will be confiscated immediately, the parent will be contacted, and possession of these items may result in immediate ejection from Camp. A parent will be required to travel to Camp to pick-up the student. Authorities will be contacted as needed.



Pranking items (i.e. shaving cream, silly string, etc.). These items will be taken from you if brought on the bus or to Camp and returned to the PARENT.



Skateboards or any other item with wheels (i.e. roller blades, “wheelie” shoes, etc…)

THINGS WE HAVE AN UNDERSTANDING ABOUT General Guidelines  Everyone is expected to attend all meetings, activities, and worship services. This means that everyone should be doing what everyone else is doing. In the event of an emergency, a Camp Director may give permission for a student to stay in their room. 

See “Cell Phone Policy” section above. Be aware that Hickory Grove and Camp Bob Cooper Staff are not liable for lost or stolen cell phones.



No guys in girl’s dorms. No girls in guy’s dorms.



Do not leave the Camp. Do not go hiking.



“Lights out” means that all students should be in their rooms and the lights should be out.



No food or drinks in meeting rooms or dorm rooms. Food must be eaten outside. Food in the room = Bugs in the room, you can count on it.



Be aware that you are personally responsible for damages to facilities.



All medications MUST be given to medical staff during registration. This includes prescriptions and over-the-counter medicines, NO EXCEPTIONS! Refer to the Schedule and Registration overview included in this package for more information.

Behavior  No PDA (Public Display of Affection). 

You do NOT need to begin or end a relationship during Camp.



Be respectful to all adult leaders and other students. Rough housing or fighting will not be tolerated.



No PRANKING. We forbid pranking at Camp because it makes it a bad experience for the student who gets pranked and it distracts from the focus of growing in your relationship with Christ at Camp.

Dress  Dress appropriately for all worship services. 
