Dear Prospective Candidate Thank you for your interest in the position of Parkwood Assistant Manager at Kent Union. We are a successful, vibrant and exciting organisation with a bright future ahead of us. We have achieved a great deal in the last few years, more than doubling in size to our current £11million turnover, 500 employees and 2,000+ volunteers. The Catering and Licensed Trade Department currently operates three outlets on the Canterbury Campus, which include a 1200 capacity night club (The Venue), coffee shop (Library Café), and a street food offer(Canvas). Kent Union also operate a newly opened bar/café on the Medway Campus known as The Deep End. The post holder will be joining Kent Union at a very exciting time and a transformational phase for the department as it continues to develop and grow its catering provision across the Canterbury and Medway Campuses. In September 2018, we will launch a £3m new Students’ Union building at Parkwood. The Parkwood Building will be a significant enhancement of the largest student accommodation area on campus, and will boast a brand new 300 capacity bar/café offering a great coffee and food offer with a wide range of student events from Quiz’s to Kpop karaoke and showing all major sports fixtures. The Parkwood building will also host a new convenience shop to replace Parkwood Essentials boasting a broader range of fresh food, hot grab and go food and beverages, a social/study space, an IT/Study hub for students, 2 dance studios/student activity spaces to support our 250 sports clubs and societies engage with their members. Job Description – Parkwood Assistant Manager Department: Licensed Trade Reports to: Parkwood Food and Beverage Manager Direct reports: Duty Supervisors, Student Staff

Role Purpose: The post holder will be responsible for supporting the Food and Beverage Manager in all operations for Woody’s bar/café, and will support the Food and Beverage Manager in the oversight of all areas including social and study spaces and dance studios with the aim of achieving and maintaining excellent levels of customer service within Parkwood. They will be responsible for delivering consistency in all aspects of operations and will be tasked with working a combination of daytime, evening and weekend shifts. The post-holder will manage a team of student. They will be responsible for stock and cash control, and will maximise profitability by increasing sales and controlling costs. The postholder will be responsible for the health and safety of customers and staff, as well as the security of the building. Duties and Responsibilities Financial Responsibilities: 1. To Support the F&B Manager in controlling Woody’s budget by maximising profit through increasing sales, controlling costs and maximising profit margins. 2 To be responsible for the security and management of all resources including stock and cash, and to follow all Kent Union’s financial procedures... 3. To ensure all budgets are managed effectively, ensuring full adherence to Kent Union’s financial reporting procedures. Responsible for People: 1. To effectively communicate individual, team and organisational goals to all team members 2. To give regular and constructive feedback, and ask for feedback from the team on how you are leading, managing and developing staff and act on it to improve performance. 3. To undertake performance reviews of direct reports, in line with Kent Union policy. 4. To encourage open feedback and debate from team members 5. To effectively coach and mentor people to help achieve potential, and lead by example on continuous personal development. 6. To co-ordinate the work and monitor the workloads of direct reports, ensuring that staff levels are adequate and efficient 7. To assist in the development of direct reports by encouraging a learning and development culture 8. To actively review, plan and evaluate individual training needs. 9. To be responsible for the training and inductions of all members of the Woody’s student staff team. 10. To provide leadership, direction and coaching for direct reports and to set an example of being results focused and aiming to achieve excellence.

11. To ensure that Kent Union’s procedures on the employment and ongoing management of the Tier 4 Student staff is adhered to at all times. Operational Duties 1. To develop and maintain strong stakeholder relationships with various University Departments, senior staff, and police, fire and licensing authorities. 2. To ensure that the Union’s Health, Safety and Well-being Policy and appropriate Health and Safety legislation is adhered to at all times and to provide leadership in health and safety management for staff and customers. 3. To lead in creating a culture of excellence in customer service, ensuring that customers’ expectations are exceeded whenever possible. 4. Ensure every opportunity is maximised, and that enhancing student experience remains integral to our offer. 5. To pro-actively support the F&B manager to network with product representatives and NUS services to ensure mutually beneficial relationships exist with suppliers 6. To attend training sessions, and appropriate meetings as and when required by Kent Union 7. To contribute to the positive image of Kent Union with students, the University and the local community. 8. To undertake other tasks and responsibilities compatible with the level and nature of the post as required by the Head of Catering and Licensed Trade from time-to-time. 9. To carry out the above duties at other sites as necessary. 10. Carry out other duties, activities as reasonable be required to support colleagues in achieving Kent Union’s Plan, and to lead in the development of Parkwood catering provision. Summary Conditions of Appointment Salary This post is at Grade 5.1 of Kent Union’s pay scale (pending pay scale review) with a starting salary of £21,808. Staff normally move up one incremental point annually, subject to performance. Probationary arrangements This post is subject to a 6-month probationary period, with 1, 3 and 6-month reviews. Notice Period The notice period for this position is one month. Annual Leave Entitlement The post holder is entitled to 23 days’ leave, increasing by 1 day a year to a maximum of 28 days; 6 ‘customary’ days’ leave, normally taken over Christmas; and the 8 statutory leave days for England. Total entitlement is therefore 37 days in year 1, rising to 42 days after 5 years. Pension The post holder is entitled to join Kent Union’s Career Average Related Earnings (CARE) pension scheme with salary sacrifice, in which Kent Union contributes 16% and employees contribute 6% of salary. Alternatively, the post-holder can join a personal pension scheme through Scottish Equitable, in which Kent Union contributes 6% and employees contribute 3% of salary. Hours of Work The contracted hours are 35 hours per week and will include late night and weekend work. Additional hours where necessary. Legal Status Kent Union is an unincorporated association and a registered charity. The Union has a Board of Trustees, which is legally responsible for all aspects of the organisation. Democratic Structures Kent Union is a membership organisation; all students at the University of Kent are automatically members of Kent Union. The membership provides strategic and political direction through the Union’s democratic structures, including referenda, the Annual General Meeting, Union Council, four debating zones and seven elected Trustees. The Trustees The Trustees of Kent Union are the five ‘sabbatical officers’, four ‘external’ trustees and four ‘student’ trustees. The sabbatical officers and two of the student trustees are elected each year by and from the student membership of Kent Union. The sabbatical officers take a year out of their studies (or immediately after graduating) to serve as a trustee; they can stand for re-election for a second year if they choose, but can serve for no more than two years. Unlike the trustees of most registered charities, the sabbatical officers are paid a living allowance and work a normal working week. The four student trustees have all the responsibilities of being a trustee, but are still studying and fulfil their 9

duties on a ‘part-time’ and voluntary basis. Two of the four student trustees are elected by cross-campus ballot and take office on 1 July each year; the other two student trustees are selected via a recruitment process in the October of each year. Staff and Management Structure Kent Union employs approximately 500 staff to provide services for its members. Staff are of two types – approximately 360 student staff, who work whilst completing their studies at the University of Kent; and approximately 140 career staff – professionals who have made working at Kent Union part of their career. The Board of Trustees oversees the work of staff through the Chief Executive and Director Group, who in turn manage staff through the 15 senior managers, each of whom is responsible for one of the Union’s Departments or a strategic function.
