1.

INTRODUCTION

The building that houses Christ the King Lutheran Church (CtK) was constructed to be used for the Glory of God. This church facility, as the house of God, is to be treated with dignity and respect. The principal use of the building is for Holy Worship and for the study of the Word of God. At no time will any event or program replace the objective of worship and study. The appearance of the church building and grounds represents the spirit of the congregation. It is the first impression an individual makes when driving into the parking lot and entering the building. The cleanliness and maintenance of the facility often influences a visitor’s opinion of the attitude of the church members toward their place of worship. Policies and procedures for the physical management of the facility enhances the ministry and program management of the church. The Church Property Committee (CPC) is the administrator of the following policies and procedures.

FACILITY USE

2.1

Policy: The facilities of Christ the King Lutheran Church are available by reservation for programs or groups sponsored by CtK. The facilities may be used by persons or groups outside of CtK on an availability basis only. Scheduled CtK programs and activities will take precedence over all other uses of the facility. The use of the church facilities by any group other than those recognized as a church-related organization must be approved in advance and occur on a not-to-interfere basis with any programmed activity. A group outside of CtK shall be defined as any group not sponsored by CtK, and may include non-profit and character building groups meeting at CtK such as TOPS, Lutheran Youth Encounter training, Porcelain Art Guild, etc. A group activity outside of CtK by members may include weddings, receptions, rehearsal dinners, showers, birthday parties, etc. Each request for use of the facilities by groups outside of CtK will be evaluated on an individual basis. When use is authorized, groups will conform to Christian standards of decorum and activity. Generally, there is no charge for use of the facilities by non-profit and character building groups. However, in some instances, fees may be charged to defray janitorial and utility expenses.

2.2

General Use Procedures:

2.2.1 All facility use must be reserved and placed on the master church calendar in the office. 2.2.2 Individual(s) making a room request assumes responsibility for following the procedures for use of the facility. This includes security of the building during and after the activity if a custodian is not present, and turning off utilities. A key to the building may be issued to the requester. 2.2.3 It is the responsibility of the person(s) granted permission to use the facility to enforce the church’s guidelines. 2.2.4 All activities at CtK will be conducted in a manner befitting a sacred place. 2.2.5 The entire building is smoke free; smoking is not allowed in the building. 2.2.6 Alcoholic beverages are not allowed in the building or on the grounds.

(See 2.2.2) 2.2.8 Groups must provide adequate supervision for their activity. 2.2.9 All signs, billboards, posters, etc., will be posted on bulletin boards and tack strips. Materials will not be taped or affixed to walls, doors, windows, or any other equipment or structure. 2.2.10 Special equipment requirements should be made at the same time as the reservation. 2.2.11 Selected portable furniture (tables and chairs) may be borrowed by members of CtK, but must be reserved in advance through the church office. 2.2.12 Equipment may be taken off site for a church function only by signing out the equipment in the church office. No equipment may be taken off the premises by groups outside CtK or for personal use by CtK members. 2.2.13 If equipment or furniture is lost or broken, the responsible person or group may be required to repair or replace it.

2.3

Procedures for Use of Facility by CtK Sponsored Groups

2.3.1 All church sponsored programs or activities will be placed on the master church calendar in the office. Use of rooms and equipment, including kitchen, must be requested at that time. 2.3.2 It is the responsibility of the group to arrange for room setups. 2.3.3 Furniture and equipment must be returned to original location.

2.4

Procedures for Use of Facility by Groups Outside Christ the King

2.4.1 Reservation for use of the facility will be made by completing a Facility Use Reservation form. 2.4.2 Authorization to use the facility will be made by the CPC or its designated representative. 2.4.3 Requests for space for regular and special programs of CtK will take precedence over requests by nonmember groups. 2.4.4 The Property committee, or its designee, will decide if a non-profit or character building group will be charged for use of the building. Donations will be encouraged. Custodial and utility charges may be assessed. 2.4.5 A Certificate of Insurance coverage may be requested for use of the facility. A Certificate of Insurance and/or a signed Insurance Waiver will always be required for the use of Celebration Hall (gym) for sporting activities. A Permission Slip/Insurance Waiver, signed by a parent or guardian, must be provided for children under 18 using the gym. 2.4.6 Use of the kitchen facilities will be coordinated through the Kitchen Coordinator. (See Section 6) 2.4.7 Furniture and equipment may not be moved unless permission is obtained at the time of reservation. 2.4.8 Groups are responsible to: take out their own garbage; leave the space clean and neat, which may include vacuuming; close windows and shut off lights, secure the building or hire a custodian.

3. USE OF CELEBRATION HALL (GYM) 3.1

Policy: Christ the King Lutheran Church believes that an important ministry to members and non-members is to provide a place for wholesome recreation, exercise and fellowship. Celebration Hall was built for this purpose. This ministry includes: large fellowship gatherings; member and non-member evangelism; general recreation activities; age and interest group activities; and participation with other churches and Christian groups in recreation, craft and leisure time activities.

3.2

Procedures for Use of the Gym by CtK Sponsored Activities and by Groups Outside CtK and Athletic Groups:

3.2.1 Reservations must be made to use Celebration Hall. 3.2.2 During recreational activities, food and/or drink will be restricted to a designated area. 3.2.3 Youth under 18 must have adequate adult supervision. 3.2.4 Balls stay in the gym and will not be bounced or thrown in the hallways. 3.2.5 Equipment is to be used for its designated purpose only. Activities scheduled for the gym must be confined to that area only. 3.2.6 All equipment will be properly stored after use.

3.3

Procedures for Use of the Gym by Groups Outside of CtK and Athletic Teams:

3.3.1 When Celebration Hall is used by a group for a non-sport event, the event must be approved by the CPC or its designated representative, and reservations must be made by completing a Facility Use Reservation Form. A Certificate of Insurance or Insurance Waiver may be required. 3.3.2 Reservations for sporting activities in the gym are on a first come, first served basis, and may be made no more than one week in advance. 3.3.3 When reservations are made for the use of the gym for sporting activities, a Certificate of Insurance and/or a signed Insurance Waiver must always be completed. A Permission Slip/Insurance Waiver, signed by a parent/guardian must be provided for children under 18 using the gym. When sports teams, ie., IBA or MVBA league teams use the gym, the coach will also sign an insurance waiver. 3.3.4 Teams and groups must provide their own equipment. 3.3.5 Volleyball nets will be put up only upon approval of the CPC.

USE OF THE SOUND / LIGHT LOFT

5.1

Policy: Christ the King Lutheran Church strives to present meaningful worship experiences to its congregation and the surrounding community through services held at its facilities as well as through regular video broadcasts of services. Audio and visual services are a key component in enriching the worship experience. Providing quality sound, lighting, and video taping support is an expectation of our congregation. The Worship and Music subcommittee, through the Audio/Visual Services Production group, oversees the purchase, operation and maintenance of audio, lighting, and video recording equipment consistent with the objectives set by the committee to provide quality worship services in the church facilities as well as in outreach activities through video tape productions of these services.

5.2

Procedures:

5.2.1 The sanctuary loft access door will be locked at all times unless a member of the church staff or a member of the Audio/Visual Services Group is present and/or overseeing activities in the loft area. 5.2.2 Only members of the church staff or the Audio/Visual Production Services group who have been trained in the operation of the audio, lighting, and video recording equipment will be allowed to operate the equipment. 5.2.3 Equipment locations and control settings will not be changed from those positions and settings required for regular Sunday morning worship services without prior approval from the Audio/Visual Production Services group. If approved changes are made, the changes must be reset to the position/operation condition required for regular Sunday morning worship services. 5.2.4 Occupancy of the loft will be limited to a maximum of ten individuals. 5.2.5 Photographers and videographers will be allowed in the loft area if a member of the church staff or member of the Audio/Visual Production Services group is present. 5.2.6 No unsupervised children will be allowed in the loft area. 5.2.7 All audio, lighting, and video recording equipment will remain on the church premises. 5.2.8 No food or beverages will be allowed in the loft area.

6. USE OF KITCHEN 6.1

Policy: Christ the King Lutheran Church will offer food service facilities in support of authorized and organized ministries and program activities of CtK. The kitchen may be used by persons or groups outside of CtK on an availability basis only. Scheduled CtK programs and activities will take precedence over all other uses of the facility. The use of the church facilities by any group other than those recognized as a church-related organizational entity must be approved in advance and occur on a not-to-interfere basis with any programmed activity. For the purpose of definition, a group outside of CtK may include non-profit and character building groups meeting at CtK such as TOPS, Lutheran Youth Encounter training, Porcelain Art Guild, etc. A group activity outside of CtK by members may include weddings, receptions, rehearsal dinners, showers, birthday parties, etc.
