Procedure for Decisions and Communication in the Event of Inclement Weather 

 



Daytime events and programs are driven by WJCC school system closures: o 2 hour delay: All events canceled before noon o Early release: All events that begin after the early release time are canceled o Closed: All daytime events canceled Evening events and programs are primarily driven by the Chapel’s office closures rather than WJCC’s schedule. Events can be evaluated individually by the relevant LT member and Support Services. The Café is driven by daytime events/programs and office closures: o WJCC 2 hour delay: Breakfast canceled, open for lunch 12:00-2:00 pm. o Early release: follows office schedule o WJCC closed: Breakfast canceled o Offices closed: Café is closed Office closures: Support Services Director makes preliminary recommendation and checks with Leadership Team for pauses, stepbacks, or overrides before he or she makes final call.

Communication regarding daytime events and the Café can be made as soon as WJCC’s decision has been announced. Office delayed openings and full day closures should be communicated by 8:00 pm the previous day. Day-of office closures/early releases and evening programming decisions by their nature need to be more flexible. Above all, the emphasis needs to be on timely and clear communication.    





   

Support Services Director alerts Connect Team Leader that there is a closing, cancellation, or delay and passes along any pertinent info to be communicated. Connect Team Leader works with Web and Social Media Associate to send out STAFFALERTS text from TextMarks (wording given by Connect Team Leader.) Team Leaders personally call all of their staff members who aren’t signed up for STAFFALERTS and think through any ministry-specific communications to send after full Chapel communication. Web and Social Media Associate creates blog post on website: o Put day, date, and time info in bold at top of post (Ex: Friday, March 6 UPDATE: 7:00 a.m.) o Type in updated message and end with “By (time of next update…to be given by Connect Team Leader) any other delays, closings, or cancellations due to the weather will be posted here as well as on our Facebook page: facebook.com/wcchapel” Web and Social Media Associate puts Inclement Weather Main Rotator on homepage and links to the blog post. o Use the same blog post for updates. Just change days, date range, and the time of the post. Web and Social Media Associate posts on Facebook (https://www.facebook.com/wcchapel): o Write, INCLEMENT WEATHER UPDATE: time o Then write message, and end with “Any other delays, closings, or cancellations due to the weather will be posted here as well as on our website: www.wcchapel.org” Web and Social Media Associate contacts the Answering Service (757-220-4302). If Sunday services or church-wide events are canceled, a full Chapel email is sent with wording provided by the Connect Team Leader. If the threat of inclement weather is known prior to the Weekly email, include an Inclement Weather Update in the email directing people where to check for information (website, blog, Facebook, etc.) In the event of an extreme situation, WAVYTV10 or WMBG 740(radio) could be used.
