REQUEST FOR PROPOSAL (RFP) FOR Vidyo Conferencing System To:
All Interested Vendors
You are invited to submit a formal proposal (bid) for a Vidyo Conferencing System for the Barrow County School District in accordance with the attached General Conditions and Specifications. Sealed proposals from bidders will be received by Barrow County Schools, 179 W. Athens St., Winder, Georgia 30680 until 2:30 P.M. local time, on Wednesday, July 16th, at which time and place all proposals received will be opened and read aloud. All bidders are invited to be present. Your presence is not required for consideration of award. Proposals may be mailed or delivered to the attention of John St.Clair at the above address. Emailed proposals are acceptable. Emailed proposals will only be deemed accepted for consideration upon delivery of a confirmation email from
[email protected] to vendor’s email indicating receipt of proposal. If vendor does not receive confirmation of receipt of proposal via email, vendor should consider proposal not to have been delivered. Barrow County reserves right to postpone bid opening to later the same day beyond original due date/time in event of delay of mail services. Once time has been called and the first proposal has been opened, any proposals received thereafter will be returned unopened. Proposals may not be withdrawn for a period of ninety (90) days after the date of receipt of bid. GENERAL CONDITIONS
The Barrow County School System seeks competitive bids for a Vidyo Videoconferencing Platform with 1 year of updates and maintenance. Line items should be included for optional three year updates and maintenance. Vendor must include installation, configuration, and training services. Includes mounting rails. Also includes 1,000 Vidyo soft-client licenses (1 x LIC- SC-ENT-1K). Premium upgrade replacing first year warranty includes HW return
& repair, business day 9 AM to 7 PM ET phone support, updates for software components not covered by the Software Maintenance Plan + Vidyo provided Level 2 support services (telephone support for EU certified and designated personnel)
VidyoRouter 1U, 19" rackmountable, appliance to host up to 100 concurrent endpoint connections. VidyoRouters are stackable with auto load balancing provided by the VidyoPortal. Includes mounting rails.
Each VidyoLine license is perpetual and enables a concurrent connection through the VidyoRouter to a conference or another user with support for up to 1080p up & down.
Premium upgrade replacing mandatory basic maintenance plan for Vidyo software for first year. Includes business day 9 AM to 7 PM ET phone support, software updates, Vidyo provided Level 2 support services including telephone support for EU certified and designated personnel. VidyoGateway XL, 1U, 19" rack mountable, appliance to connect Vidyo endpoints with Legacy H.323 and SIP Videoconferencing endpoints. Supports up to 5 HD, 15 SD or 25 concurrent CIF connections. Supports up to 50 voice only connections. For use with VidyoConferencing v2.0 or later. Includes mounting rails
VidyoReplay 1U, 19" rackmountable, appliance to support webcast
to up to 300 concurrent HD viewers, recording for up to 5 concurrent HD sessions or 15 concurrent SD sessions, and content management for recorded VidyoConferences. Separate license, LIC-AAC-SP,
must be included with orders for Service Providers that intend to sell VidyoReplay services or bundle VidyoReplay services as part of a commercial offering. 1 year of advanced replacement service (per appliance rate) during the

first year of support services for the appliance.
Scheduled priority phone support with Vidyo engineer for commissioning of a Vidyo appliance - Per appliance
SERVICES Vendor must install and configure the new Vidyo conferencing equipment and ensure that all services are working correctly. Vendor must also train district IT staff in use and configuration of the different Vidyo services. Vendor should carefully describe length and coverage of training, including a broad overview of topics to be covered and methodology used to train IT staff. MISCELLANEOUS CONDITIONS •
In description of proposal, vendor must indicate what recurring year maintenance and upgrades are estimated to be for future years once initial maintenance period has expired. This figure is for district informational purposes only and should not be included in any financial totals in the proposal.
Trade Names “or Equal” Clause No product substitutions will be allowed.
The Barrow County School System may accept any bid offered on an all, some, or none basis, within funds available, whichever is in the best interest of the school system.
