REQUEST FOR PROPOSAL (RFP) FOR UCView Digital Signage To:

All Interested Vendors

You are invited to submit a formal proposal (bid) for a UCView Digital Signage system for the Barrow County School District in accordance with the attached General Conditions and Specifications. Sealed proposals from bidders will be received by Barrow County Schools, 179 W. Athens St., Winder, Georgia 30680 until 3:00 P.M. local time, on Wednesday, July 16th, at which time and place all proposals received will be opened and read aloud. All bidders are invited to be present. Your presence is not required for consideration of award. Proposals may be mailed or delivered to the attention of John St.Clair at the above address. Emailed proposals are acceptable. Emailed proposals will only be deemed accepted for consideration upon delivery of a confirmation email from [email protected] to vendor’s email indicating receipt of proposal. If vendor does not receive confirmation of receipt of proposal via email, vendor should consider proposal not to have been delivered. For convenience, please include the words “bid response” in the subject of all emails pertaining to this bid. Barrow County reserves right to postpone bid opening to later the same day beyond original due date/time in event of delay of mail services. Once time has been called and the first proposal has been opened, any proposals received thereafter will be returned unopened. Proposals may not be withdrawn for a period of ninety (90) days after the date of receipt of bid. Barrow County Schools reserves the right to reject any and all bids or to waive any informality in bidding. GENERAL CONDITIONS

The Barrow County School System seeks competitive bids for the UC View Digital Signage system with 1 year updates and maintenance. Line item should be included for optional three year updates and maintenance. Vendor must include installation, configuration, and training services. Proposal must include all expenses including shipping if applicable. SPECIFIC CRITERIA

Description The ViewEdge 100 Digital Signage Server is our mid-line, fully integrated hardware and software solution for providing web-based management and media distribution. With complete control of up to one hundred media players, the ViewEdge 100 is perfect for a single mid-size location or several smaller locations. One Digital Signage Server seamlessly distributes: Live TV, web pages, Flash media, PowerPoint presentations, RSS feeds and multiple videos, images, and audio formats. Player access license for ViewEdge digital signage server. Specify what individual license costs in the description.

SERVICES Vendor must train district IT staff in use and configuration of new UCView Digital Signage system. Vendor should carefully describe length and coverage of training, including a broad overview of topics to be covered and methodology used to train IT staff. MISCELLANEOUS CONDITIONS •

In description of proposal, vendor must indicate what recurring year maintenance and upgrades are estimated to be for future years once initial maintenance period has expired. This figure is for district informational purposes only and should not be included in any financial totals in the proposal.

Trade Names “or Equal” Clause No product substitutions will be allowed.

The Barrow County School System may accept any bid offered on an all, some, or none basis, within funds available, whichever is in the best interest of the school system.
