REQUEST FOR PROPOSAL (RFP) FOR CLASSROOM AMPLIFICATION & EMERGENCY ALERT SYSTEM To:
All Interested Vendors
You are invited to submit a formal proposal (bid) for Classroom Amplification & Emergency Alert System, infrared system with two microphone inputs, and two auxiliary inputs. Includes amplifiers, receiver, microphone, four speakers (specify wall or ceiling), sensors, and cables. Five-year warranty to be installed in classrooms in our four school buildings for the Caro Community School District in accordance with the attached General Conditions and Specifications. Submit bid to Mr. Mike Joslyn, Superintendent, District Central Office, and 301 Hooper Street until 3:30pm on Wednesday, July 8th, at which place and time all bids will be opened and read aloud. No bids will be considered or accepted after that date and time. Emailed proposals are acceptable. Emailed proposals will only be deemed accepted for consideration upon delivery of a confirmation email from
[email protected] to vendor’s email indicating receipt of proposal. If vendor does not receive confirmation of receipt of proposal via email, vendor should consider proposal not to have been delivered. Caro Community Schools reserves right to postpone bid opening to later the same day beyond original due date/time in event of delay of mail services. Once time has been called and the first proposal has been opened, any proposals received thereafter will be returned unopened. Proposals may not be withdrawn for a period of ninety (90) days after the date of receipt of bid. Caro Community Schools reserves the right to reject any and all bids or to waive any informality in bidding. Bidders to provide references of similar projects with submission of bid proposal. Unit costs for all work will be specified. The successful bidder shall provide Workers' Compensation Insurance with Michigan statutory limits and Employers Liability Insurance with a minimum limit of $100,000 each accident for any employee. The successful bidder shall provide Commercial General Liability Insurance with a combined single limit of $1,000,000 each occurrence for bodily injury and property damage. Caro Community Schools shall be added as "additional insured" on the general liability policy with respect to the services provided under this contract and be furnished the certificate of insurance 10 days prior to commencement of work. Each bidder for a contract under this section to file with the board, intermediate school board, or board of directors security in an amount not less than 1/20 of the amount of the bid conditioned to secure the school district from loss or damage by reason of the withdrawal of the bid or by the failure of the bidder to enter a contract for performance, if the bid is accepted by the board, intermediate school board, or board of directors. Caro Community Schools reserves the right to reject any, part of any or all bids and to accept other than the low bid, if they deem such action to be in their best interest and to waive all informalities in the bidding procedures. The bid shall be accompanied by a sworn and notarized statement disclosing any familial relationship that exists between the Owner or the employee of the bidder and any member of the board, intermediate school board, or board of directors or the superintendent of the school district, intermediate superintendent of the intermediate school district, or chief executive office of the public school academy. The District shall not accept a bid that does not include this sworn and notarized disclosure statement.
GENERAL CONDITIONS Caro Community Schools seeks competitive bids for Classroom Amplification systems with emergency alert as per the specific criteria to follow. In addition to specific criteria, the following general conditions apply: -

Vendor is responsible for everything necessary to install a Classroom Amplification systems no later than August 21, 2015, with emergency alert system at all district buildings, including but not limited to: installation/configuration of the infrastructure, assisting district technical support staff as needed. All hardware must be brand new and eligible for manufacturer support and warranty. No grey-market products are acceptable. Vendor must attend a mandatory walk through on July 1, 2015 at 8:30am unless other arrangements are made. All cabling must be plenum rated and will be surface mounted. Vendor must provide conduit extending from the ceiling that should be Hubbell, Panduit, or Belkin and of the same quality as T70. Wire molding must be securely fastened to wall with screws or other district-approved mechanism. Vendor is responsible for measuring/identifying required cable lengths for classroom installations and specifying appropriate cable lengths in bid response. Vendors submitting proposals agree that any shortages in cable lengths are vendor’s responsibility to rectify at vendor’s cost. Include2- IR microphone-one for the teacher and one for the student Include 3.5 audio cable and cables to connect computer, DVD player, etc. Use of sub-contractors for installation or product substitutions is not permitted without prior approval of Caro Community Schools. Vendor must provide parts lists for all phone and cable components with per-line-item pricing specified. All work will be warranted against failure or defects for a period of five years from the date of completion. If there is a failure due to defects in the product or natural wear, the product will be repaired or replaced at no additional cost to the owner If the vendor has any specific terms, conditions or limitations, they should be provided as part of the RFP response.
