Simply the Facts Vendors We allow the use of outside vendors for your wedding. We have a list of preferred vendors that we highly recommend. You are not limited to the preferred vendor list and you are welcome to contract directly with any other professional vendors. If using a vendor not on the hotel’s preferred list, you are responsible for contracting and working with that vendor directly. Typically you will need to find a photographer, videographer, florist, a bakery for a wedding cake, ceremony and reception musicians, as well as an Officiate for the ceremony. Many of these vendors can be booked through SpringHill, but it is not required.

Rentals SpringHill Suites can assist you with any and all of your wedding ceremony and reception rentals. The Marriott Certified Wedding Planner will coordinate the items ordered, set-up, break-down and returns of all rentals ordered through the hotel. You are welcome to use any other professional vendor for rentals. If you use another vendor for rentals other than the hotel, they are responsible for the set-up and break-down of those rentals. Proof of insurance may be required for outside rentals.

Meals We have three preferred caterers at the SpringHill Suites. All our caterers are very experienced and provide excellent and professional service along with delicious food. A complimentary tasting is included with the hotel’s caterers. Our caterers can provide buffets, plated meals, appetizers, buffet stations, and much more all to create a one of a kind meal for your big day. You may choose from one of our selected menus or create your own specialty menu.

Meal Tasting If using the hotel’s caterer for your wedding, a complimentary taste panel may be arranged for up to four (4) people. Tastings are scheduled at least two weeks in advance. Please contact the Marriott Certified Wedding Planner for available dates and times and menu tasting details.

Children’s Meals and Vendor Meals Special meals for children less than 12 years of age or for vendors are available.

Corkage Fees SpringHill Suites by Marriott Napa Valley agrees to allow outside wine, sparkling cider and/or champagne to be served during your reception for a corkage fee of $12.00 per 750ml bottle plus tax.

Decoration We are very flexible with the decorations we allow for your event. There are certain restrictions regarding hanging decorations from the ceilings and walls in both the Tent and the Ballroom. Loose glitter, confetti and artificial rose petals are not allowed in any of our banquet venues. Please consult with the Marriott Certified Wedding Planner regarding your decorations. All decorations must be approved prior to arrival. Failure to do so may result in additional costs and/or damage fees.

Agreement of Deposits A non-refundable deposit of $1,000.00 for receptions (or 50% of the venue cost for ceremonies only) and a signed agreement will hold your reservation definite, if returned by the specified date. In addition, the policies and Procedures form must be signed at the time booking. Full payment of the estimated charges is due no later than 14 days prior to the wedding.

Cancellations All deposits and payments are non-refundable. Cancellation terms will be outlined in your agreement.

Guarantees The final guest count must be given to the Marriott Certified Wedding Planner 14 business days prior to the wedding. This number is the minimum guarantee and may not be reduced. In the event that a guarantee is not given 14 days prior to the wedding, the estimated guest count on the function agreement will be the guaranteed number. Final charges are based on the banquet attendance number or the actual number of guests, whichever is greater.

Parking Parking is complimentary for all guests attending the ceremony and/or reception and for guests staying overnight. We do have handicap accessible parking close to the wedding venue to accommodate your guests.

Frequently Asked Questions What is included in the reception facility fee? The facility fee includes exclusive use of the venue for six hours, with the option to purchase additional time available per hour. In addition, all of our wedding receptions include the following:  Accommodations for up to 200 people (additional per person charge up to 230 guests max may apply)  Round banquet tables and white wooden folding chairs or banquet chairs  White full length linen table cloths and white or red linen napkins  Votive candles and square mirrors to accent your center piece  Water glasses, standard china and flatware  Dance floor  After dinner coffee/decaf station  Set-up and break down of hotel equipment  Cutting of wedding cake  One night complimentary overnight accommodation for newlyweds on night of the wedding

Do you have any noise ordinances? Yes, we do have noise restrictions. However, amplified and live music are permitted. All music must end exactly at the agreed end time of the event. All music will have to stay under a specified decibel level as determined and monitored by the hotel. For all outdoor events, music must end no later than 11:00 PM. Subwoofers are not permitted in any venue.

What types of beverages are allowed? Under the hotel current liquor license we are able to serve wine and beer during your event. In addition, we can contract with a local company to provide hard alcohol for an additional fee at your event. All bar packages have a separate cost from the food and the facility fee.

Do you host more than one wedding at a time? No, we only host one wedding per evening. You and your guest will have exclusive use of the contracted venue.

Is there a cake cutting fee? No, we will cut your wedding cake at no additional charge.

Do we need to have an appointment to view the property? An appointment is not required but it is strongly recommended to ensure our wedding coordinator is available and the venue is available for you to view while you are here.

Do you allow outside catering? We do allow the use of outside catering; however, there are some restrictions. All caterers must be licensed for catering, provide proof of insurance and they must provide a full wait staff for the entire evening. There is an $8.00 per person charge for the use of an outside caterer. Outside caterers will be allowed to use the kitchen to cook in as needed.

What if my guest count falls lower than my minimum? If your guest count falls lower than the required minimum, you must instead hit a food and beverage minimum based on the number of guests required on your desired date. The food and beverage minimum is based on the minimum number of guests multiplied by your menu per person price.

What are the views like? The hotel is located in picturesque Napa Valley. The outdoor Tented Plaza is surrounded by a lush green garden and seasonal flowers. Along with the tranquil architecture and the waterfall in the Terrace, it is the perfect backdrop for your wedding.

Can we get a special room rate for guests who wish to stay on property? Yes, we do provide special group discounted rates for all in-house weddings. There is a two night minimum stay for all group blocks on Friday and Saturday nights during the months of May – October.
