Student Services Officer and Activities Coordinator – Bondi (6 month fixed term) Navitas is a diversified global education provider that offers an extensive range of educational services for students and professionals including university programs, English language training and selltlement services, creative media education, workforce education and student recruitment. An opportunity for a 6 month fixed term Student Services Officer and Activities Coordinator, responsible for the efficient delivery of student services along with running the social program (Boomerang) at Bondi has become available. This position would suit an active, creative individual with strong communication and organisational skills. Areas of Responsibility Navitas English Bondi is seeking to recruit a Student Services Officer and Activities Coordinator who will be responsible for:           

Reception duties Student enquiries Data entry of student details into the student management system Preparing a monthly activities calendar Accompanying students on Navitas English activities (daytime and evening) Issuing student documents e.g. attendance letters, certificates, activity handouts Invoicing and receipting of student fees Managing centre events and activities Booking students on Navitas English social club activities Managing social program accounts including monthly reporting Other administration and customer service tasks as required

Selection Criteria Essential      

  

Ability to deliver an excellent standard of customer service in a busy environment Excellent written and verbal communication skills Highly organised with the ability to multitask and prioritise work Culturally sensitive and patient Active interest in a variety of sports and culture Knowledge of “what’s on” in Sydney and ability to create a fun and varied social and activities calendar Ability to work within a team and independently Proficient in MS Office High school certificate or higher

Desirable    

Knowledge of the ELICOS industry Experience in the travel and tourism or administration industry Desktop publishing skills A second language

Responsible for:

Responsible and accountable for the provision of high quality student support and administration services and the coordination of the Boomerang activities program. The position will be an employee of NES Pty Ltd and will be responsible for duties associated with both NES and NE Pty Ltd (NE). In this document all references to NES include references to NE.

Principal accountabilities 1. Administration support Provides high quality administration support through performing the following administrative tasks: ▪ ▪ ▪ ▪ ▪ ▪ ▪ ▪ ▪ ▪

general reception duties; answering the phone, collecting and distributing mail; entering student data including address and contact information in to the Student Management System, as required; ensuring that student information in the Student Management System is kept up to date and accurate; booking of student appointments with academic staff; invoicing and receipting of student fees; ensuring campus administration procedures and documentation is kept up-to-date and accurate; ensuring reception area and student areas are kept clean and tidy; preparing student arrival documents for day one intakes; ensuring stationary supplies are monitored and orders are done as required; performing other administrative, accommodation and reception duties as required.

2. Activities Coordinator Contributes to the provision of a professional and first rate centre activities program by:         

being friendly, outgoing and communicate effectively with student; creating the monthly Boomerang calendar with a variety of of activities to interest a variety of students; booking activities/excursions with relevant agencies and providers; securing activities/excursions at the best prices; promoting the calendar around the centre including during classes and break times; invoicing and receipting of student activity bookings; be knowledgeable and up to date with what’s happening around the centre; accompanying students on daytime and evening activities; providing a high level of responsibility for students when on activities;

ensuring information for students regarding the activities program is accurate, readily available and understood by other student services staff; ensuring boomerang data entry into the activity booking forms and monthly activity reports is accurate, complete, and entered on time; ensuring all activities are carried out in a professional, safe and centre appropriate manner; ensuring the boomerang information boards are interesting and up to date; ensuring that the activities program is cost effective and activities are financially viable;

making an effort to build rapport with students; assisting in building an archive of high quality activity handouts and posters; updating the relevant centre Facebook page with photos and event information; update centre media platforms e.g. student computers, TV’s with activity information; effectively review and analyse the success of activities through a variety of mediums and implement changes as required; comply with the permitted and prohibited activities policy; arranging for teachers or student services staff to supervise activities, as required; liaising with the Director, Student Services and Experience; provide other administrative, accommodation and reception duties as required.

3. Customer Service Ensures high quality student services and customer service to clients is provided by:

      

answering student and agent enquiries in a timely manner, in accordance with company policy assisting with day one student orientation; assisting with student graduation; assisting with centre events e.g. fundraising, morning teas; assisting with general public relations (showing prospective students around the centre) where required; liaising with head office admissions and marketing teams when required, to ensure student needs are met; day-to-day liaison and communication with students, clients, and other stakeholders utilising a range of authorised communication channels, including official social media sites, in accordance with company policy.

4. Records Management and Client Privacy Ensures accurate and efficient management and maintenance of NES and NE databases and records management by: ▪ ▪ ▪ ▪

maintaining appropriate computerised records and databases; ensuring privacy regulations are understood and implemented; ensuring client records and personal information are stored securely according to NES and NE privacy policy; cooperating with other NES and ATTC and NE staff and external agencies in a way which ensures NES and ATTC and NE comply with privacy regulations.

5. Safe Working Environment Contributes to the maintenance of a safe working environment by:   

maintaining local workplaces that are safe and without risk to health; ensuring relevant occupational health and safety regulations are complied with at local workplaces; ensure that they are aware of health and safety requirements, understand evacuation procedures and know who the first aiders are at the centre.
