The Episcopal Diocese of Texas Position Description Registrar / Executive Administrative Assistant to the Chief Financial Officer Department: Finance Office Reports to: CFO FLSA Status: Non-Exempt The Registrar and Administrative Assistant position incorporates strong organizational, administrative and communication skills within the Finance Department. The Finance Department provides support and governance oversight to our foundations, institutions, and congregations. Responsibilities include good interpersonal skills and interface not only with staff members, but also with clergy and lay people across the Diocese, board members, and county tax authorities. The position works closely with the CFO and Finance leadership team. The position requires performance of tasks that are varied and complex in nature, requiring thoughtful solutions and ability to prioritize and work under pressure. Administrative Support: General administrative tasks to include presentations, meeting preparations and registrations Receptionist and other administrative projects and duties as assigned Scheduling meetings Make travel arrangements Submit and reconcile expense reports Maintain contact lists Act as the point of contact for internal and external visitors Provide general support to Finance leadership team Liaise with executive and senior administrative assistants to handle requests and queries from senior managers Coordinate offsite storage files – quarterly/semi-yearly Real Estate - Administrative: Maintain spreadsheet of active and sold entities Purge sold and closed church property files for offsite storage Coordinate conversion to electronic files and maintain resultant document storage and retrieval system Governance Support: Assist churches, schools, and institutions in incorporation processes and in resolving issues with the office of the Texas Secretary of State. Create and update spreadsheet on all incorporated entities File applications for religious property tax exemptions on all new property Resolve property and exempt tax issues Coordinate with diocesan Chancellor for incorporation requirements and periodic reporting with the office of the Texas Secretary of State Insurance - Administrative: Process insurance claim checks and maintain claim records Qualifications: Competent in protocols for professional communications

Facility with electronic communications, word and data processing Have strong organizational and administrative skills; highly attentive to detail

Capacity to wrestle with complexity and to strategically navigate ambiguous situations with integrity, professionalism, and emotional intelligence Personable and professional in person, on phone, and online Excellent time management skills and the ability to prioritize work Demonstrated ability to handle confidential information Experience in paralegal and/or professional administrative work Excellent knowledge with electronic communications and word and data processing Some college or Associate’s Degree in related area preferred
