THE GREATER SPRINGFIELD CHAMBER OF COMMERCE JOB DESCRIPTION POSITION: REPORTS TO: LOCATION:

Events Manager 2 Vice President - Operations Chamber offices, 1011 S. Second St., Springfield, IL

POSITION OBJECTIVE & ROLE WITHIN ORGANIZATION

This position coordinates and/or assists with various Chamber events and programs. This position also provides administrative assistance at the reception area and with executive leadership. This is an exempt position.

AREAS OF RESPONSIBILITY

The primary responsibilities of this position are preparing budgets, financial reports, promotional strategies, materials, sponsorship solicitations, agendas, registration, media relations and logistics for all coordinated events. Secondary duties include administrative support for the President and other executive staff, while providing customer service and general reception and administrative duties for the organization.

ESSENTIAL DUTIES & TASKS 1.

Organize and coordinate the following events: a. Good Morning Springfield b. Spring and Fall Job Fairs c. Elected Officials Reception d. Economic Outlook Breakfast e. Seminars and other specific events as needed

2.

Provide assistance with the following events: a. Leadership Event b. Corporate Cup Challenge

3.

Submit event promotional articles for the Chamber's email blasts.

4.

Assist President with all aspects of meeting preparation and execution for Executive Committee, Board of Directors, Nominating Committee, and other meetings as directed.

5.

Respond to telephone and walk-in inquirers.

6.

Process daily deposits.

7.

Mail monthly invoices and statements.

8.

Take ownership of the Kitchen/Break room: a. Unload and put away clean dishes each morning. b. Maintain cleanliness of refrigerators (Break room and Board room). c. Restock Board room fridge with sodas (as needed).

9.

Maintain the Work room. Keep it organized, clean, and stocked with materials.

10. Submit qualified leads for membership recruitment. 11. Achieve performance goals established through annual budget, strategic plan and/or goals established by your supervisor. 12. Other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

The position requires three (3) years’ experience relevant to the position’s responsibilities. A bachelor’s degree in business management or related field is preferred. This position requires a high level of time management and organizational skills, creativity, excellent interpersonal and group communication skills, knowledge of preparing promotional materials and media relations, and the ability to work well under pressure. Experience working with volunteers and in a not-for-profit environment is essential. Proficient skills in current software technologies, including Microsoft Office Suite, graphic design software, customer management software, and social media is necessary.
