How do you measure - measure a year? - From the Broadway musical “Rent”

T

wo years have flown by which means that I can double that amount and measure 1,051,200 minutes of singing, learning, working, playing and sharing time with the amazing women in Sweet Adelines while serving as International President. Thank you all for your kindness, support and friendship during the last two years. I chose my platform –Changing Women’s Lives One Chord At A Time– to reinforce what happens to all of us when we join this organization. I never imagined that serving in this capacity would change my life in so many wonderful ways. I am grateful and very excited about our future. In my first column as president, I wrote about the women who had served Sweet Adelines International throughout the last 67 years, and how much I was looking forward to continuing their legacy of innovation and vision. Working closely with the Board, Kelly Bailey and our Tulsa staff has inspired and impressed me every day. These dedicated men and women share their passion for our future in everything they do. They are smart, thoughtful, fiscally responsible and creative as they tackle the challenges we face, and happily celebrate our successes. We have approached our decisions with a global view in mind, and an eye on the long-term effects they will have on our future efforts to provide the highest level of education available for women singers. Our continuing focus on membership growth echoes the past and gives us a roadmap into our future. Edna Mae Anderson returned from a SPEBSQSA convention in 1945 ready to create an organization for women barbershop singers. She held a meeting at her home, where the women in attendance decided to hold a kick-off meeting on July 23, 1945. More than 150 women attended, and 41 became charter members. On August 5, 1945, the first meeting of the Automaton Chapter of Sweet Adelines in America, Inc. was held, and the rest is history. Edna Mae said they chose their name “because we have an atom of energy to start the organization with and we will do it to the tune of Sweet Adeline.” This year, our current International Chorus Champion, Rönninge Show Chorus, used a quote by their director to inspire and motivate them. Throughout the journey to their gold medal, Director Britt-Heléne Bonnedahl repeatedly told them, “It’s all happening perfectly.” I think this quote exemplifies what our organization provides each one of us — the perfect place to use our energy and passion for singing barbershop music. I know that “civilians” are often surprised by the depth of our dedication and devotion to Sweet Adelines International, but we have all learned that the more we put into learning to be a better singer, the more we get back in return. Serving as International President has allowed me to witness the power of what Sweet Adelines International has to offer women. A member of the Velvet Hills Chorus, Region 8, recently asked me if being president met my expectations. I did not hesitate a second before telling her that the experience surpassed any expectations I had when I

began this journey. It was so much more than I imagined, and I will carry the lessons I have learned with me for the rest of my life. Saying I am grateful, humbled and proud does not cover the range of emotions I feel, and doing the work that comes along with the title has been inspirational, educational, enlightening and totally fun. I have created so many treasured memories in the last 24 months. They range from very personal moments, to highly public experiences and everything imaginable in between. The public moments have given me the opportunity to wear beautiful dresses and awesome shoes, present two Presidential Lifetime Achievement Awards, hand out dozens of 50-year membership pins and five 60-year membership pins, emcee at International, do interviews for television, present plaques and awards in a number of regions, and giggle every time one of you called me Madame President! I represented our organization at the BHS convention in Portland and Toronto, and also had the pleasure of attending the Harmony, Inc. convention last year in Orlando. I had the opportunity to learn a hula dance during the Opening Ceremony of the convention in Hawaii, and will always remember the two dinners I attended for our Quartet Champions, Touché and LoveNotes, immediately following their exciting championship performances in the Quartet Finals. I had a blast being backstage for the quartet and chorus finals because it brought back so many memories of my own competition experiences, and seeing the bright eyes and shining smiles of our members as they entered the stage to perform was fabulous. I was honored to hold the curtain open as they exited the stage and congratulate them on their performances. The private moments are the ones that make my eyes well up when I think about them because they have allowed me to feel connected to so many of you. You will never know how much your cards, emails and phone calls have meant to me, and I will carry the kind words you shared with me forever. You have shown your appreciation through hugs, smiles, an overwhelming amount of purple showing up everywhere, and offered support without reservation. It is not possible for all of you to agree with every decision we make at the Board table, but it is gratifying to know you appreciate that we are making decisions with fiscal responsibility and a stable future for our organization in mind. I am in awe of the support you have expressed about our work, and am more determined than ever to continue giving back to the organization we all love. Volunteering for the betterment of the whole is so satisfying and rewarding. I am grateful to have spent time with so many of you, and look forward to seeing you again at our next gathering. You have changed my life, one hug at a time, and I know how lucky I am to have had this opportunity. And you need to know that you have changed Bob’s life, too! He has witnessed the power of the women of Sweet Adelines International ever since the day he introduced me during the convention in Denver. He has never given a speech like that in front of a large audience, and he was very nervous about being in the spotlight. He still cannot get over

that with grace and humility. I marvel at their ability to always keep the future in sight, and I believe in their collective vision of where we are headed financially and musically. My thanks to all of them for making my job so easy.

Working alongside Kelly and our staff has been such a great part of this experience. I wish you could all see them in action on a day-to-day basis. It is inspiring to see them do their jobs, and to see what their combined efforts have produced during the past two years. They have implemented cost-cutting measures that are helping to give us a strong overall financial picture going forward, and have increased the level of customer service to our members. They are not a big staff — but they are mighty! This dynamic group of 29 employees is doing the work of twice as many people, and the things they are accomplishing on our behalf are building our stable financial future. Check out Kelly’s article to learn more about our recent announcement of our newest convention cities for 2018 and 2019. Both cities were chosen to satisfy our many competition needs, while offering us a cost-effective way to hold our convention. They are involved in ongoing projects to develop new educational materials, and have created a Marketing Center that allows us to easily make marketing materials that look great and draw women to our organization. Bowling for Barbershop, which they developed, raised a great deal of money for the groups that participated, as well as the organization as a whole, and this year promises to be an even bigger success. There is no end to their creativity and dedication.

Marcia Pinvidic will be an outstanding president, and I am so happy that she is taking over this position next. She is smart, funny, beautiful inside and out, determined and dedicated. She has a clear vision about what we must do in order to safeguard our future and her passion for Sweet Adelines International is unparalleled. Watch for her first article in the July issue of The Pitch Pipe, and get ready for a wonderful two years with her at the helm. We are in great hands, and I wish her the best of luck as she begins her term. I know what she is about to experience, and I am so happy for her. You are going to change her life in so many wonderful ways, and she is going to be a strong leader for all of us. And so this chapter of my Sweet Adelines life comes to a close. It has been filled with laughter, hard work and so much love. I am forever grateful to have been given the opportunity to serve as president. Thank you so much for showing your support, and always know that I carry you in my heart. We are changing the world together, and one chord at a time, we are making a difference.

I owe a huge debt of gratitude to the women of the Board who have walked this path with me. They are the epitome of what it means to be a volunteer, and they are steadfast in their desire to keep our organization healthy and moving forward. It takes determination to study hundreds of pages of financial spreadsheets and spend hours examining the budget. Their job requires them to set aside personal agendas and govern the organization with a global view, and they do

reetings! I normally begin my article by sending you greetings from Tulsa, Okla., the home of your International Headquarters. However, right now as I write this article I am sitting in a hotel room preparing for the first day of a site visit for a city that will potentially host our 75th birthday celebration in 2020. Wow! Yes, 75 years is nearly upon us! What a tremendous accomplishment, and I congratulate each of you for leaving your mark on this dynamic association of world-class women. I am truly so blessed and honored to be part of this organization — this cadre of ladies who are changing the world by imparting their gifts and sharing their hearts with others as we experience this backdrop of rich harmony in the environment of sisterhood and camaraderie.

Now you must know that I promised myself that my article for this month would be a bit different. I get so caught up in the nostalgia of Sweet Adelines that I love so much, and I get overwhelmed by how my heart swells when I hear another story of how you are making life worth living for women all over the world … but this article is going to be centered around the business of Sweet Adelines International, and more specifically about choosing a venue for our convention. To begin, I want to provide a bit of background information that you may or may not already know. When I came on board as Executive Director in April of 2012, Sweet Adelines International was using a third party sourcing company to recommend venue selections, create and facilitate all venue contracts, negotiate hotel concessions and prices, and to secure rehearsal space for competition. We have entered a new era of doing business that puts us in the driver’s seat, if you will. Now, we have a site team of three HQ staff evaluating a city and its potential for being the perfect fit. We are creating and negotiating our own hotel contracts, venue agreements, accommodation concessions, transportation provision and we are internally assessing with whom we want to do business. This is indeed a very different model of business and we are already seeing the benefits. This new process will result in cost savings to the organization and an infusion of revenue in years to come.

As you might have heard, we made the announcement that convention in 2018 will be in St. Louis, Mo. and New Orleans, La. in 2019. The feedback we received from this announcement was great! We did have a few members who wanted to know why we selected these cities and why we hadn’t selected other cities that they felt would be a great fit. These are very valid questions that deserve a response. I would like to outline the top three factors that drive the city and venue decision that we put forward to the International Board of Directors. These are all equally important and we cannot recommend a city if all three of these are not met 100 percent: • The city partnership is positive and productive. As Sweet Adelines International is now facilitating our own contracts, it is imperative to work with a city that is willing to earn our business. Our conventions are worth as much as $28 million in economic infusion to a city (includes all of what we spend — food, drink, transportation, residual spending, etc.) and we see that as being a “big fish” in the convention industry. Because of this new approach to doing business, we are enjoying the financial benefits of being taken on funded site visits, being sponsored to meetings trade shows, and realizing a more competitive bid process as we seek to make the best and most informed business decisions. • Venue is supportive of a successful convention and competition. Obviously, this is a key element to our decision and one that warrants making the top three elements list. The venue selection must be set up to accommodate our anticipated attendance, have adequate space for a growing and evolving Harmony Bazaar, be certified to the standards of our sound requirements, have ample close proximity hotels, and be in a safe area for our members. • Business decision is sound and financial outcome is positive. In

Kelly Bailey, Executive Director order to survive and thrive into the future, we must enter into contractual agreements that work in our favor. As our convention is one of the biggest expenses that we have in our budget, we must remain diligent to ensure that we are executing those agreements that are financially sound and that we are being offered contracts that support a healthy bottom line. The larger convention package takes many factors into account such as hotel room rates, rebates, facility rental fees, transportation credits, and those various other items that can add value to one city/venue over another. In order to ensure that these elements are considered and all intricate details are included as part of the equation, we have created a sophisticated, evaluative convention city spreadsheet. This tool, developed in-house, is proving quite effective in evaluating the financial specifics of a particular city and assisting us to provide concise, high quality information to our International Board for their ultimate decision-making. I hope that this information has been informative and helpful. We take our jobs very seriously and we are dedicated to protecting every dues dollar that comes into our organization. The selection of a convention venue is an important one for many reasons, and it proves to be one of the most exciting. I look forward to being able to announce where we will go in 2020 for our 75th birthday celebration. What an incredible milestone for us! Here’s to another 75 years! In harmony,

The International Board of Directors met on March 7-8, 2014, in Tulsa, Oklahoma. Following is a summary of actions taken. • The charter and chapter membership for the following chapters were authorized: Indian Blue Chapter, Joondalup-Waneroo, Ocean Reef, WA, Australia, Region 34 Gateway Spotlight Chapter, St. Louis, MO, Region 5 • Joan Boutilier was granted Certified level status in the Sound Category of the International Judging Program. • Dale Syverson was granted Certified level status in the Sound Category of the International Judging Program. • Marge Bailey was granted Emerita status in the International Faculty Program. • Nancy Bergman was granted Emerita status in the International Faculty Program. • A “Demonstration Station” event will be featured on Monday afternoon, November 3, 2014, at International Convention in Baltimore. This educational event, for all members, will feature various “stations” arranged in a large circle around a room where attendees rotate to the next station at the sound of recorded music. Some “station” topics discussed for the event included a Vocal Production Station, Faces Station, Unit Sound Station, Instant Leveling Station, Getting the Most Out of Convention Station, Makeup Station, Member Recruitment Station, etc. • In order to increase the viewing experience of audience members and webcast viewers of the International competitions, improve the quality of video provided for competitors and judges post-competition, and to enhance the quality of future educational tools derived from international competition footage, the 2014 International competitions in Baltimore will be broadcast using High Definition (HD) cameras. • The job responsibility of the Worldwide Liaison was expanded to include liaising with the non-North American Regions. • The 2014-2015 Sweet Adelines International committee members were appointed. • Since the International Faculty Program has been downsized to meet the current needs of the International organization, the Board agreed to dissolve the International Faculty Coordinators as a standing committee effective April 30, 2014, and to ask the Education Direction Committee (EDC) to appoint one of their members to liaise with International Faculty Program Members. The Board will appoint a task force every third year to complete the International Faculty Program member evaluative process. • The Board agreed to ask the Education Direction Committee (EDC) to appoint one of their members to liaise with the organization’s chorus directors and agreed to dissolve the Director Education Coordinators (DEC) as a standing committee effective April 30, 2014. • Effective May 1, 2014, the Board will annually appoint a volunteer Deferred Giving Liaison, under the auspices of The Overtone Society, to work in conjunction with the Advancement Department at International headquarters. Peggy Gram was appointed as the 2014-2015 Deferred Giving Liaison and is available to discuss with members their desire to donate to the International organization via deferred giving, estate planning, wills, etc. • The job description of The Overtone Society Management Committee (TOSMC) was reviewed and the Board agreed that the bulk of The Overtone Society Management Committee’s typical duties are now handled by the International headquarters Advancement Department. The Board agreed to dissolve The Overtone Society Management Committee as a standing committee effective April 30, 2014. • In order to contain costs, airfare for internationally funded travel will no longer be reimbursed for travel booked via any method other that through the organization’s official travel agency, Journey House Travel. All internationally funded travel (including, but not limited to, travel related to International committee meetings, educational events, faculty travel, international and regional competitions, panel secretary travel, judging and judge education, music arranger education, visits by regional personnel to chapters, prospective chapters and revitalizing chapters, Young Women in Harmony Festivals, etc.) booked on May 1, 2014, or after, must be booked using Journey House Travel. No reimbursement will be issued for travel booked through any other method. • Licensing the Sweet Adelines International name and logo to external (non-region, non-chorus or non-quartet) vendors will be discontinued. External vendors that are current and past logo licensees will be given the opportunity to renew licenses on existing inventory only through December 31, 2014, and no new product licenses will be issued. All current external vendors will be given until December 31, 2014, to sell their existing licensed merchandise inventory. • In November 2013, the Board approved a fee of $50 per year per item for regions, chapters, and quartets that wish to license the corporate name or logo for fundraising items. The name/logo licensing fee was instituted in order to help defray the costs of sustaining the organization’s registered trademarks. This practice will continue, with the following procedural clarifications: – Fees are due at the time the license is issued. The $50 fee applies only to groups wishing to raise funds by selling items bearing the corporate name or logo. – Any region, chorus or quartet that wishes to continue selling a licensed item at the end of the one-year licensing period would owe an additional $50 fee to renew the license and continue selling that item for an additional year. – The fee does not apply to a group that wishes to sell name or logo items to its members at cost (for example, if a chorus wishes to make t-shirts bearing the corporate name or logo for chorus members to wear when traveling, and sells those shirts to members at cost, no fee would be assessed as it is not a fundraiser and is being sold only to members). The use of the logo must still follow the relevant graphics standards, but no logo licensing agreement is required.

A Judge’s Journey to

“The Pit ”

H

ave you ever wondered how those four judges at your contest qualified to be evaluating your chorus or quartet? Do they have magical powers, an extra set of ears and eyes, or advanced degrees in music? Does every judge have to be a director or winning quartet member? Inquiring minds want to know! Judges certainly do have special qualities, but magic or reputation has little to do with their abilities. If you polled the judges, certainly you would find winning directors and quartet queens in some of those chairs; however, you would also find chorus and quartet members just like yourself. What makes someone a judge isn’t her accomplishments. The women who judge distinguish themselves by their desire, dedication and willingness to do whatever it takes to serve our members through strong, supportive evaluation and education. Could you be one of those women? What does it take to become a judge? How do you know if you would be a good candidate? How long does it take and how much does it cost? Let’s take a journey through the first five to ten years of a judge’s life … Applications for the judging program are accepted at headquarters on or before February 15 of each year. At the June meeting of the Judge Specialists Committee, each application is reviewed and considered. When evaluating these applications, the Judge Specialists are looking for: a) Evidence of a selfless service to the members and organization of Sweet Adelines International b) Strong knowledge of our organizational structure and the judging category for which you applied c) Solid history of chorus, regional and/or international service that provides positive references If all these requirements are met, the applicant will be notified that she will need to begin the testing process. There are three tests that will be administered by an Internationally appointed person. The first test covers the structure, governance and workings of Sweet Adelines International; the second tests the knowledge of the particular category chosen by the applicant; and the third is a live, trial scoring experience that indicates the aptitude for written evaluation and scoring. All of these tests will take approximately a year to complete and are reviewed and scored at the next June Judge Specialists meeting. Who knew it took so much time, effort and knowledge to even be accepted? If all of these tests are completed successfully, the applicant becomes an “Approved Candidate Judge” (ACJ). Perhaps your region has hosted an ACJ workshop where all of the Judge Specialists gather with the new candidate judges for an educational workshop combined with contest. This is an intense learning experience that kicks off the trial scoring phase of becoming a judge — an incredibly exciting, nerve-wracking, and intense time that not only develops and grows the candidate’s knowledge and evaluative base, but can also reveal and refine character and personality traits. Trial scoring holds many experiences for the candidate judge — peaks and valleys, courage and fear, joy and disappointment, success and failure. Learning to deal with all of these reveal and highlight a judge’s character — openness to critique and instruction, determination to learn and grow to meet a challenge, independence to work and prepare without constant guidance, strength to make decisions, and grace to work in a team. The process isn’t easy and it isn’t meant to be. Through the two to five years that candidates may remain in the trial scoring stage, they grow into a judge that respects and appreciates each competitor and fellow judge, providing each with support, education and understanding. Remember, most judges are competitors, too!

This is a good time to acknowledge that not everyone is cut out for the judging life. That doesn’t make judges better, smarter or stronger, but it does reveal personalities that thrive on competition, personal critique and who foster a “never give up” approach. Judges are required to evaluate honestly what

organizational structure and the judging category for which you applied Each year during the regional competition season, candidate judges are asked to trial score one or more regional competitions. Usually, the candidates who are able to trial score two or three contests each season advance faster because the repetition provides valuable practice that leads to earlier success. All judges are required to prepare independently for each judging experience. Some judges and candidates participate in a judge boot camp to prepare for the judging season. Some prepare by reviewing previous competitions and practice judging by DVD. These preparations are done independently and are not official training. However, they are invaluable experiences that prepare our judges for a smooth and quick entry into the judging season. Candidate judges must jump into this practice quickly in order to progress effectively. All judges are evaluated and scored on their competition performance each season. The candidate judges benefit from these evaluations as well. They provide overall direction for improvement as well as specific examples of what they did well and where they will need to develop better skills. (Does that sound familiar? The judges are “judged” just like our competitors!) These evaluations include commentary on their written elements as well as their scoring accuracy. Both areas must attain a high level of success before they can be considered for service on an official judging panel. By now, most candidate judges have been working four or five years toward becoming a judge! Considering the time off work for competition weekends, the expense of hotels, meals and flights, as well as the energy it requires, becoming a judge is not an undertaking you can take lightly! We are very fortunate now to be able to offer judging scholarships through The Overtone Society; however, these only cover part of the expense. When you see a trial scorer at your regional contest, take a moment to give them an encouraging word or a hug of appreciation. They deserve it! Keep in mind that every judge who sits at that table in the pit has spent her own time, money and energy to learn how to help you grow and become even better. There is no other explanation for this amazing dedication than their great love of this musical art form, our members and Sweet Adelines International. When a candidate judge receives the scores needed to advance, she will be assigned to her first official judging panel. Her excitement is through the roof! If she is assigned to a panel, it is because she has proven that she is ready — still, nerves are expected. The panel chair is available to provide an encouraging word and monitor results. However, once the contest starts, it is amazing how quickly all the judges leave any other thoughts or concerns behind and are completely focused on the competitors. Nerves melt away in the desire to provide each contestant a valuable experience and to get it done in the short time allowed. It’s the most exciting marathon type experience in which most of us will ever participate!

Once again, the candidate’s performance on this official panel will be evaluated and scored. Success is sweet! The candidate is then assigned to other official judging panels in the next year’s regional contests as well as being invited to trial score at an upcoming International contest. The first International trial scoring experience can be overwhelming in length of time and energy depletion as these candidate judges are judging both quartet and chorus contests throughout the week. It is usually a “best of times/worst of times” experience that most can’t wait to do again. Now you may think they have completed their training — not so fast! After a couple of successful official judging seasons, the candidate judge will be requested to write an essay/thesis paper on their category. This paper covers all the elements of their category as well as how their category relates and intertwines with all the others. Much like we would experience in college or graduate school, expectations and requirements are high. If this category paper is successfully submitted, this judge is getting close to certification.

is presented at that time. Sometimes that is difficult for competitors to hear and they might not appreciate the judge’s insights or even like her (for the moment, we hope). Judging requires confidence and security from those who will ultimately live the life of a judge.

The last remaining “test” required for certification is to successfully trial score or judge an International competition. This experience can produce a good deal of anxiety! Our judge has now spent six to eight years and untold amounts of money and energy preparing for this moment — it is both thrilling and daunting. Afterwards, the wait begins… At the December Judge Specialist meeting, all judges from the International contest are reviewed and evaluated including any trial scorers. If the pressure has overtaken the candidate judge and affected her performance, she can be invited to do it again the next year. Hopefully, it was a successful experience and she will be recommended for certification.

After the Judge Specialist’s recommendation, both the Education Direction Committee and the International Board of Directors must approve the certification. It may be several months before the candidate judge hears her results. After approximately seven to nine years, can you imagine the party that takes place when she hears of her certification? She certainly deserves quite a celebration! Are you a possible judge candidate? n 2013, 48 Sweet Adelines International chapters and quartets, along with International Board members and HQ staff, raised nearly $92,000 in the first ever Bowling for Barbershop campaign.

Let’s do it again! Bowling for Barbershop 2014 will kick off on May 1 and will run through August! Start planning now! It’s easy to get started. Every chorus and quartet is eligible to participate — even prospective choruses! An informational webinar is scheduled for Wednesday, April 16. The webinar will be archived for future reference in case you miss it. Your chapter or quartet can enter the campaign anytime between May 1 and August 31, 2014, but the longer you participate the more money you will raise and the more fun you will have. Bowling for Barbershop gives your chorus/quartet an opportunity for team building, fun, involving your family and friends, physical activity, raising awareness for your chorus/quartet in your community, potentially recruiting members, singing in public, raising money and supporting the International organization! Tools and marketing materials to help you throughout the campaign will be available in the Members Only Marketing Center on April 15, 2014. Bowling for Barbershop is a fundraiser for Sweet Adelines International to support its mission and goals as it approaches its 75th anniversary. Each participating chorus/quartet receives a 50 percent portion of the proceeds.

If your registration payment is not included with the group you want to sit with, seating with the group is not guaranteed. Tickets are assigned in the sequence as orders are received. 2. Pre-registration closes September 1, 2014. After September 1, tickets may be purchased and will be available for pick-up on-site at the Coronet Club booth. Seats will be assigned based on availability. Pre-registration tickets will be mailed in September 2014. 3. Send only one form of payment for the group. Multiple checks or credit card numbers included with one registration are not accepted. For your convenience, this form may be photocopied. 4. Make check/money order payable to the Coronet Club. Canceling a Reservation

Sweet Adelines International has partnered with Experient to deliver excellent service for your housing needs at Convention. • You may make reservations with Experient beginning Monday, April 7, 2014 at 8:00 a.m. CDT. • Please use the housing link found by visiting the Online Housing Link page found in the Baltimore 2014 International Convention page under News & Events. • For questions about housing, you may speak with an Experient Call Center Agent at (866) 229-3691 or (301) 694-5243 during normal business hours, Monday – Friday, 8:00 a.m. – 6:00 p.m. EDT. • Reservations cannot be made over the phone; they must be made through the Sweet Adelines International website or via mailed / faxed form. • Please add [email protected] to your address book so you will be able to receive emails about your reservation or any other important information.

• The room leader must pay a deposit of the first night’s room and tax when making a room reservation. It may not be divided and charged to your roommates at that time. • A credit card must be provided that can be billed for the room deposit on or after October 8, 2014. The room leader is responsible for collecting shares for the deposit from other occupants of the room after the reservation is made. • Should any changes to a reservation take place, either with the room leader or other occupants, it is the responsibility of the room leader and roommates to work out financial arrangements. • Deposits must be paid by credit card – American Express, Discover, MasterCard or Visa. • Credit cards will be billed on or after October 8, 2014. • Complete your reservation online, or mail your credit card payment with the completed housing form, located on the Sweet Adelines International website, by Friday, October 3, 2014. No wire transfers are accepted. • All deposits become non-refundable after Friday, October 3, 2014, 11:59 p.m. EDT. Should an emergency arise after October 3, 2014, contact [email protected] to discuss. Experient and hotel cancellation fees will apply. NOTE: Your reservation will not be confirmed without a credit card that is valid thru November 2014.

• The room leader is the only person able to completely cancel a room reservation. • Cancellations received by May 31, 2014 will not be charged a fee. • Cancellations received from June 1 – 30, 2014 will be subject to a $75 cancellation fee. • Cancellations received between July 1 – 31, 2014 will be subject to a $150 cancellation fee. • Cancellations made after August 1, 2014 will result in a $250 cancellation fee. • All cancellations must be submitted in writing via fax to (301) 694-5124, toll free domestic fax to (888) 772-1888 or emailed to [email protected]. • Cancellations made with the hotels directly will be subject to the same cancellation fees listed above, regardless of or in addition to the individual hotel’s policies. • Refunds for cancellations received prior to May 31, 2014 will be processed within 7-10 business days.

Roommates Before reserving your room, make sure you contact your roommates so you can: • Confirm they are committed to sharing a room with you. • Verify their email address and the correct spelling of their first and last names. • Make arrangements for your roommates to pay their share of the hotel bill. • Confirm any special needs. Request an ADA room, if necessary (based on availability).

Hotel Information and Rates • The hotels available for your stay at Convention are listed on the Hotel Description page. • To receive the reduced Sweet Adelines International rate, YOU MUST RESERVE YOUR ROOM THROUGH EXPERIENT. You should never contact the hotel to make a reservation. • If a room is reserved through any source other than Experient, the reservation is not considered to be in one of Sweet Adelines International block of contracted hotel rooms. For example, if you have a reservation at one of our hotels, but the reservation was made through your travel agent, it is not considered one of our hotel rooms and you will not receive the privileges that come with being in our block of rooms. • Double/Double rooms with 2 beds are limited, and available on a first come, first serve basis.

Reserving Hotel Room • To reserve a room, go to www.sweetadelineintl.org, News & Events, 2014 Baltimore International Convention, and go to the online housing link. When you select the online housing link you will be redirected to the Convention housing site hosted by Experient. • Please note that a credit card guarantee is necessary to fully reserve a room. • Read the information carefully and follow the on-screen directions. • If you have already made a reservation, the system will direct you to your existing reservation. • When adding roommates, the room leader will need to enter the first name and last name for each person sharing the room. • The room leader will be the only person on the reservation who may: o Change the date of arrival or departure o Cancel the reservation in its’ entirety • Roommates have the ability to view the reservation and may cancel their own names from the reservation. • Once a roommate cancels a reservation, an email will be sent to the room leader advising of the cancellation. The roommate is then free to become a room leader in a new reservation or a roommate in another reservation, if desired. • No name should be listed more than once in any reservation as this will cause the hotel to consider it a duplicate reservation and will cancel the entire reservation.

No Shows • Should you confirm a reservation and then cancel without notifying Experient or the hotel, and the room becomes completely vacant, the room leader will be charged the first night’s room and tax as a cancellation fee; the remaining dates of the reservation will be cancelled.

Confirmation Number • Once you complete your reservation, you will receive a Reservation ID. • The Reservation ID number is used by you and Experient to look up and manage your reservation. • Confirmations will be sent directly from Experient (not your hotel or Sweet Adelines International) via email within 7-10 business days of the date of processing. • You do not need a Reservation ID to check in to the hotel. • When the hotel receives your reservation, they will assign a different confirmation number for your reservation.

Airport/Hotel Shuttle Transfers • Sweet Adelines International does not provide transportation between the airport and hotels. • For shuttle information, please refer to the airport online and research the options they provide.

Departments Membership matters

The Chapter Officer’s Q & A

W

ithin the past year many transformations have taken place in membership processes, especially since the new automated form for New/Transfer members was launched in January. In an effort to better serve you, International Headquarters will continue to update and provide more efficient, convenient and user-friendly ways to work together. Here are some frequently asked questions that may help you through our recent transitions: How do we submit applications for former members that need to be reinstated, dual members, status changes and resignations? If you know the individual joining your chorus is a former member or you enter her name in the search fields of the online automated form and see that she already has an existing record, this member needs to be reinstated. In this case, you will need to complete and submit the paper application for New and/or Transfer members – still available on our website at www.sweetadelineintl.org (> Member Resources > Document Center > Membership Applications and Forms). If she knows her previous member number please include that on the application and also please note if she would like to buy back the years she was gone or if she will be starting over as a brand new member with a new enrollment/renewal date. All dual membership applications, status changes and resignations still need to be submitted by using the paper forms available in our website’s Document Center referenced above. The only membership processes that have been automated through the Members Only section at this time are New and Transfer chorus members. We do hope to automate all processes in the future. How do we transfer At-Large members into or out of our chorus? If an At-Large member would like to transfer into your chorus, you can do so using the automated new/transfer form as long as her membership dues are current/not expired. If a chorus member would like to transfer to an At-Large membership please have her submit the paper application for At-Large memberships available in the Document Center of our website as referenced above. She will need to include payment with her application. How does our chorus proceed if we only use checks and do not have a credit card? Please continue to mail your checks to us with the paper applications/ forms as you have always done. We understand that some credit cards are not cost-effective for our chapters but we strongly encourage you to look into alternative credit card options that do not have hefty fees attached to them. In the meantime, we will look at offering alternative methods of online payments so that you can also take advantage of the new online form. What do we do about members who do not have an email address? To keep up with the demands of our technological era, obtaining an email address from all members is now a requirement. We understand there are some members who still do not have an email address. Fortunately,

it is easy and free to acquire one! Email is now the primary form of communication from International Headquarters to our members, with the exception of a phone call or mailer on certain occasions. We limit our general membership email distribution to a maximum of four emails per year. All member contact information is kept confidential and will not be shared with any third party. An email address must be provided when submitting a new member application, transferring a member or updating a member’s contact information from this point on. Please address this with your current members and new members as they join your chorus. For those without computer access please assign a chorus “buddy” so they may share email information from HQ. We appreciate your support and cooperation. Where is my membership card? With the approval from the International Board of Directors in November 2013, membership cards are no longer mailed. Please see below on how to access and obtain the new electronic membership cards. How do we access the new online membership cards? Chapter Officers can access membership cards for every member of their chorus by logging in to the Member’s Only section and clicking on the following: Chapter Activity/Reports > Add/Transfer/ Update Members > Click your chapter name. Your current membership list will appear, and to the right of each member’s name there is a clipboard icon that contains her membership card. Every member has access to their own membership card on their Member Profile page in the Member’s Only section of the website as well. To print the membership card click on the clipboard icon and click on the Export icon at the top left side of the page to print. A pop-up box will appear, click PDF from the drop down arrow and click Export to print the card from the PDF file. How will At-Large members receive a membership card? At-Large members will receive an email confirmation after their application (or transfer) is processed that will let them know their membership cards are available to print from their Member Profile page in the Members Only section of our website. Our Membership Chair enters new member applications and our Treasurer is responsible for making payments but the new form requires you to do this all at once. How do we proceed? As with the previous “paper” member applications, payment is made at the time the application is entered. We understand that this new form may alter how your chapter manages its new member applications. In an effort to ensure that new member invoices are paid promptly, this new online form requires you to enter the new member information and make payment before the new membership can be finalized or activated. At this time we ask that you assign one officer with login capability to complete the online form and make payment (please see below for additional information on this).

Harmonizing the World By Janine Ross, Membership Specialist, HQ Staff Exciting news from China! In our last Satellite Spotlight we mentioned that there was interest from Nikki Schwartz, an American teacher living in China, who was considering starting a chapter there. We are very happy to report that Sweet Adelines International has expanded its global footprint and we now have a new prospective chapter in Shenzhen City, China, which is just north of Hong Kong. Welcome to the Sweet Adelines family, Nikki … and China! We look forward to hearing more from this chorus as they progress.

Prospective Barberellas

(Bonn, Germany) Mentor Valerie Taylor visited the Barberellas recently for a weekend of coaching and says they have made great progress since her previous visit in October. Accompanying Valerie on this latest trip was her chorus-mate and choreographer, Emma Duguid, who was able to help the Barberellas work on their visual performance as well. The chorus and their director, Viola Neuwald-Fernandez, are very appreciative of the coaching they have received and are developing a great bond with Valerie. After Valerie returned from her coaching visit to Prospective Barberellas, she received a message from the director of another German chapter, Prospective A-Cappella Ladies in Pattonville, Germany. Director Britta Nordhoff asked Valerie to visit their chorus in June. We hope that trip is able to happen and will pass along an update if one becomes available. n

History of Barbershop Lesson Plan Under the direction of the Education Direction Committee, the 2013-14 YWIH Program Coordinators developed an hour-long lesson plan on the history of barbershop that educators can use in their classrooms. Members who have the opportunity to present to local students in their communities can also use this lesson plan. It is a great way to introduce the art form to music students of all ages and includes video performance examples as well as some suggestions for tag singing. ChorusSpotlight You Paid How Much For That Costume?! By Rhonda Puntney Gould, Jet Cities Chorus, Region 13 Many of us who have been in Sweet Adelines a long time roll our eyes when we hear the statement: The chorus is getting a new costume. Then we wonder what it will look like on all of us, will it be comfortable, and most importantly, how much will we have to pay for ourselves? Jet Cities Chorus went on the regional contest stage in Spokane last year wearing costumes that cost the chorus a grand total of $100! At 50 members, this was accomplished for $2 per member! How did we do that? With a bit of creativity, pieces of an old costume, inexpensive cotton blend tank tops purchased by chorus members, and a couple of rolls of hot pink sequined fabric, Jet Cities rocked a look on stage that was both beautiful and comfortable. The first components were the basics of an old costume that had been used for the previous 10 (yes, 10) years with a variety of dusters and colored fabric: a pair of black stretch pants and a matching scoop neck tunic in the type of fabric that doesn’t unravel and can be wadded into a ball without wrinkling. The tunic was cut on a straight line down the middle to create a flowing jacket. No sewing required for this part. Rectangular pieces of the pink sequined fabric (also the kind of stuff that does not unravel) were tacked on to the shoulder seams of tank tops and along the armhole about two inches above the underarm seam. The resulting drape of the pink fabric created a look that framed faces and was flattering on everyone in the chorus. Members were able to schedule one of two Saturdays to be fitted with the top and jacket and most of us were done and on our way with the new costume pieces in less than an hour. The results spoke for themselves in how the striking pink and black combination appeared on and off stage. The costume looked just as good up close as it did on stage. The judging panel and our Region 13 friends were equally complimentary. Jet Cities will indeed be getting a brand new costume for 2014 but we have been so pleased with the results of our pink and black ensemble that it will be kept in the costume repertoire! n
