Following the I Do’s We can accommodate small intimate ceremonies to grand affairs. The Fairbanks Ballroom is situated in the Bay Tower where you and your guests can sip champagne and enjoy sweeping views of Harbor Island Marina. The Harbor Island Ballroom is in the Marina Tower and can accommodate up to 700 guests.

Conditions and Information

Our professional banquet staff will provide you with the finest service. However, we also need your assistance to make your event a success. Guest Rooms: We are happy to offer a discounted rate for your out of town guests. Request for Multiple Entrees: It is possible for you to provide guests with a choice of entrees in advance. The following stipulations apply: Multiple entrees are limited to a choice of (2) published entrees, the hotel will provide a limited number of vegetarian options. If there is a price difference between the entrees the highest priced entrée will prevail for all entrees. Guarantee of attendance, with the breakdown for each entrée is required (5) business days prior to the event. A form of entrée identification is required at the guest table, i.e. marked place card, colored ticket or coded nametag. Guarantee: The Catering Office must be notified no later than 12 noon, 72 hours or three (3) business days prior to the scheduled function of the exact attendance expected. This number shall constitute the guarantee, not subject to reduction, and charges will be made accordingly. The Hotel cannot be responsible for service to more than 3% over the given guarantee. If no guarantee is received at the appropriate time, the Hotel will assume the expected number on the banquet event order to be correct, and charges will be made accordingly. Function Space: Function rooms are assigned by the Hotel according to guaranteed minimum number of people anticipated. We reserve the right to change the designated room, without notification, if the guest counts increase or decrease when a specific room is requested. Additionally, we reserve the right to offer alternate function space under certain circumstances and it shall be the Hotel’s prerogative to define said circumstances and for any reason. Food and Beverage: No food (outside specialty food catering companies/restaurants may be considered) and beverage may be brought into the Hotel. The Hotel will supply all food and beverages with the exception of allowing outside wedding cakes and specialty ethnic food items upon prior Hotel approval. Billing Arrangements/Method of Payment: A master account will be set up for you covering the expected charges. The estimated amount of the master account must be paid in advance in accordance with the deposit schedule set forth below. Credit Card Billing: Subject to the terms and conditions of this Agreement, Hotel will accept Credit Card Payments for all Transactions. Hotel shall honor without discrimination valid Cards properly tendered for use. For purposes of this contract, “Card” means a credit card issued pursuant to the rules and regulations (the “Rules”) of American Express, Diners Club International, Discover Card, JCB, MasterCard, VISA, or any “Card” for which Hotel provides Card processing.

Conditions And Information (cont.) Deposit A deposit of 25% of the minimum contracted revenue is due by upon signing of this contract. A deposit of 50% of the minimum contracted revenue is due 90 days prior to event. Remaining balance of 25% of the minimum contracted revenue is due 10 days prior to event. Final payment will include all food and beverage, audio visual, parking and all tax + service charges. Please note; deposits must be received by the dates noted above. Payments must be made via a valid credit card or cashier’s check. Package Minimums: Packages are specially priced. Each package requires a minimum guest count of 50 guests. For weddings under 50, the, catering staff will be delighted to create a custom package to accommodate your dream wedding. Prices and Labor Charges: All prices are subject to change. All food, beverage and room rental prices are subject to a taxable service charge and applicable sales tax. By California State law, state tax is added to the total cost of the function, including service charge. Parking: All on-site parking is paid parking. The Engager may make arrangements to host the guests’ parking. Otherwise, each individual will be responsible for their own charges. Liability: The Hotel will not be liable for any damages to the Engager or the Engager’s guests and will not assume liability for the loss or damage to articles in the Hotel prior to, during or following the function. The Engager assumes full responsibility for the conduct of all persons in attendance at the event and for any damages done to the Hotel or persons as a result of the event. Engager and his/her guests will conduct the event in an orderly manner in compliance with all laws and Hotel regulations. Should an event run past agreed vacate time, any overtime wages or other expenses incurred will be the responsibility of the Engager. www.wedsure.com Decorations: All decorations must meet the San Diego Fire Department safety regulations. Arrangements for an early decorating time or any special requirements your decorator has must be coordinated in advance with your Catering Manager. Special Services (For Weddings): Our Catering Sales Managers are food and beverage professionals, not professional Wedding Coordinators. There are many details involved in planning a wedding other than food and beverage.
